About the job
The Total Rewards Specialist will help lead the HR charge in payroll and benefits across the enterprise by managing the end-to-end payroll and benefit administration process for a muti-state 400 employee organization. This role will be the first point of contact for employees and/or supervisors on most day-to-day Total Rewards interactions. This role is a hybrid role, with, Monday through Thursday in office, and Fridays are work from home!
Essential Functions
- Provide day-to-day administration of all benefits plans, processing new hires, terminations, status changes, etc. for group health, dental and vision, accident and disability, life insurance, retirement, COBRA, and rewards and recognition programs.
- Field benefit inquiries and concerns from employees redirecting or referring as appropriate to vendors and/or engaging assistance from our broker.
- Maintains strong working relationships with benefit brokers, TPAs and vendors to ensure accurate, efficient, and timely administration and delivery of benefit programs.
- Help execute annual benefit open enrollment. Participate in renewal meetings with benefit broker.
- Counsel with employees and supervisors concerning leave benefits and provide employees with accurate information on deductions from pay relating to absences, medical certification requirements, return-to-work dates, etc.
- Oversee and administer leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), state and local leave laws, and short-term or long-term disability plans. Also serves as point of contact for employees and/or supervisors to identify and provide reasonable accommodations, coordinate, and maintain documentation on accommodation efforts.
- Audit timecard accuracy, completeness, and supervisory approval, including regular hours, overtime hours, and non-worked time including PTO are entered and calculated correctly.
- Process multi-state bi-weekly and off-cycle payroll as required by incorporating all data from employee timecards, voluntary and involuntary deductions including employee benefits, fringe benefits, Federal, State, and local mandatory deductions.
- Ensure payroll is processed accurately by required deadlines prioritizing the review of all payroll data prior to submission and immediately following the submission to ensure it is processed properly.
- Act as first point on contact for all staff benefit and payroll related questions.
- Data entry and maintenance of all employee information in the HRIS system including processing new hires, terminations, and employee changes.
- Process monthly benefit invoices.
- Provide support services to the broader HR team as needed.
Minimum Requirements
- High school diploma required.
- Minimum of 3 years of related experience with a working knowledge of payroll systems, benefit administration; ADP Workforce Now experience preferred.
- Knowledge of applicable regulatory, legal requirements and reporting, including ACA, COBRA, EEO, ERISA, HIPAA, FLSA, and FML.
- Must be able to perform basic functions with Microsoft Word, Excel, and Outlook.
- Experience with handling garnishments and multi-state payroll.
- Strong attention to detail with minimal errors.
- Ability to demonstrate a sense of urgency with attention to detail and meeting deadlines.
- Capacity to multi-task and prioritize projects and essential duties.
