Summary of Position:
Responsible for scheduling and coordinating meetings for the Executive Director and providing back-up administrative support to the administrative office. Acts as receptionist for administrative office and is first point of contact for residents, visitors, and staff. Prepares and organizes files for Administration per the request of administration staff. Acts as main contact for office supplies and office equipment maintenance and repairs. Supports activities department and other marketing projects.
Responsibilities:
- Maintains inventory, organization, office supplies; orders and distributes supplies.
- Acts as a receptionist to residents, providing general information, scheduling appointments with administrators and taking notes.
- Acts as a receptionist to staff, providing general information, scheduling appointments with administrators and taking notes.
- Assists staff managing the Paycom App, providing badges as requested, and other administrative tasks directed by Human Resources department.
- Assists administrators with filing and special administrative tasks.
- Arranges and coordinates shared calendar scheduling and room set-ups for all administrative.
- Assists in maintaining resident and staff data basis.
- Performs other duties or projects as assigned.
Qualifications:
- (Required) Minimum 2 years’ experience in office management or front desk supervisory positions.
- (Required) Excellent computer skills: MS Word, Outlook, Excel (basics); Publisher; Acrobat Reader.
- (Required) Ability to learn new systems;
- (required): Multitasking and attention to detail;
- (Required) Excellent written and verbal communications skills, including business correspondence and professional etiquette in person, via email and on telephone.
- (Required) Ability to handle confidential information.
- (Required) Expert at exercising tact, good judgment and diplomacy with staff and residents.
- (Preferred) Equipment skills: RICOH copier, HP laser printer, fax, multi-line phone system.
Pre-employment Screening and Legal Requirements:
- Physical exam and a Tuberculosis Screening, resulting in a negative TB diagnosis.
- Fingerprint-based criminal background check and clearance to work in the facility.
- Must read, understand and sign the Report of Suspected Physical Abuse of a Dependent Elder.

Pay: $27.00 - $31.00 per hour
