Position: FLAP is seeking to hire an Operations Manager (OM) responsible for working closely with the Bilingual Executive Director to develop and implement a sustainable organization’s Operations plan providing oversight of all aspects of FLAP’s Operations activities and ensure that strategies align with the organization’s strategic plan to support the growth and long-term sustainability of the organization. The OM offers insights and expertise regarding critical decisions about long-term planning and growth, especially in connection to how philanthropy can positively influence the overall health of the organization.
Compensation: pay and benefits depend on experience and skills. Benefits include100% of premiums for health insurance and 99% of premiums for dental and vision insurances. This means that 1% of the dental and vision monthly premiums would be covered by the employee if they choose to enroll, 13 paid holidays, that increases with seniority, 12 paid sick days, 12 paid vacation days, that increases with seniority, mileage reimbursement on a monthly bases for job-related travel at the IRS rate, travel based expenses such as up to $25 per day reimbursement for meals, reimbursement of up to $50 dollars per month for remote work expenses (such as internet use), malpractice insurance, Social Security, unemployment and workers’ compensation. The starting annual salary is between $60,000 and $70,000 and depends on relevant experience. Reports to: Bilingual Executive Director.
Location: Presently all FLAP staff is working remotely as well as traveling in their assigned areas doing community outreach and education, attending community meetings and events. If you are offered a job interview, we will be discussing what the expectation is for the OM once the organization decides to return to FLAP’s offices.
Work Schedule: 40-55 hours per week, including occasional evenings and weekend hours at FLAP, attendance at select community events where the organization needs to be represented.
Transportation: This position requires geographic mobility in Illinois and go to FLAP’s offices. Therefore, because the OM is regularly required to attend meetings with foundations, individual donors, and visit community businesses and organizations, the OM must have access to a reliable vehicle for travel, legally mandated automobile liability insurance, and a valid driver’s license.
Physical Demands: The OM will operate normal office equipment, use a computer and phone for extended periods of time, and carry and set up equipment. Manual dexterity is required.

Responsibilities:
1)Supervise a Bilingual Operations and Finances Coordinator and other staff, 2) Participate in the recruiting process of staff, interns/externs/fellows, contractors, consultants, and volunteers and supervise them, 3) Submit Operations programmatic reports, 4) Serve as facility manager for the day-to-day operations of FLAP, 5) Maintain, delete, and destroy excel sheets, paper and electronic files; implement and maintain office equipment plan, including project management systems, hardware, software, order office supplies, mailing and delivery services, and other basic tools for daily operations, 6) Ensure FLAP’s network is functional, 7) Present information on FLAP services at meetings and participate in local task forces, 8) Collaborate with the Bilingual Executive Director and other staff in the drafting and execution of programmatic reporting requirements, 9) Perform human resources functions, including recruiting processes, on-board new staff to the organization; coordination, personnel records maintenance, evaluations, terminations, benefits administration, job description updates, approval of timesheets, and ensuring the organization functions within all established policies and guidelines, 10) Draft necessary operations procedures for best practices. 11) Establish a comprehensive training program to educate employees regarding staff tools, policies, and procedures; and improve staff retention, 12) Develop new ways to promote teamwork and collaboration across the organization, and keep morale high across all stakeholders, 13) Manage worker classification compliance efforts, 14) Work with the Bilingual Operations and Finances Coordinator to draft the organization’s annual budget for the Bilingual Executive Director’s review and Board of Directors’ approval, 15) Work with the organization’s Accounting, Auditor, and other finances consultants to prepare for audits, directing finances, audit, payroll, and managing QuickBooks, 16) Monitor grant expenditures, review grant-based cost reports, and prepare all necessary funding reports; work with the Bilingual Operations and Finances Coordinator to ensure tax compliance for all restricted gifts, raffles, sponsorships, acknowledgements, and auctions, and oversight of reconciliation of contributed revenue ongoing and as part of the organization’s annual audit, 17) Cultivate and maintain long-term relationships with new and existing partners, supporters, board members, volunteers, and prospects; support executive and board leadership as they build relationships, 18) Communicate with funders, and attend site visits as requested by the Bilingual Executive Director, as appropriate. 19) Submit reports and assist with additional tasks as directed by the Bilingual Executive Director.
Qualifications: 1) strong writing and oral communication and research skills are required, 2) demonstrated commitment to social justice, immigrants’ rights, ability to work with people of diverse economic, educational and social backgrounds, familiarity with non-profit operations, development and finances is a plus, 3) strong organizational skills, 4) ability to work independently, 5) individually motivated and able to keep momentum, 6) ability to multitask, 7) efficiency and prompt turn- around mandatory, 8) detail-oriented, with strong problem-solving, decision-making, organizational, and time management skills, extremely responsible, self-initiating, and focused, self-motivated, enthusiastic, and flexible, 9) have computer skills, 10) ability to carefully document facts, maintain confidentiality of the information provided, and work independently, and with staff, contractors, consultants and FLAP partners to meet deadlines, 11) Technology savvy with experience overseeing information systems and infrastructure, including hardware, and software applications, 12) A successful track record in setting priorities; keen analytic, organization, and problem-solving skills which support and enable sound decision-making, 13) Ability to multi-task and wear many hats in a fast-paced environment, 14) Ability to work against tight timelines, operate with a sense of urgency, perform under pressure to meet deadlines and answer e-mails, 15) Ability to document facts carefully, maintain confidentiality of information, work independently and with staff to meet deadlines, 16) Demonstrable computer skills with the internet, e-mail, Microsoft Office, Windows, Microsoft Word, Excel, Outlook, QuickBooks, and other programs.
