The Executive Assistant with EnerMech Mechanical Services provides administrative support to the Americas Leadership Team as well as C-level executives with flexibility to meet the demands of a growing organization. Must be adept at preparing reports, managing meetings, and acting as gatekeepers for the executives they support. Excellent organizational skills, an eye for detail and the ability to work well with people at all levels internally and external of the company are essential characteristics for this role.
3.0 Main Responsibilities & Key Result Areas
· Assume role as Executive Assistant for the Leadership team of the Americas
· Support C-level Executives and the Americas Leadership Team, as required
· Maintain daily electronic journal, arrange meetings and appointments, and provide reminders as needed; maintain master corporate calendar of all conferences, all-hands events, holidays, and vacations
· Support business development/sales function in communications, funnel updates and market research
· Handle requests, feedback, and queries quickly and professionally
· Assist executives in preparing and providing travel logistics
· Provide dictation and meeting minutes accurately
· Monitor office supply levels; reorder when appropriate
· Maintain strong relationships with vendors and clients
· Produce professional quality reports, presentations, and correspondence
· Develop and carry out an efficient paper documentation and electronic records filing system
· Delegate tasks as appropriate to other members of the team
· Manage scheduled visitors meeting with executives or management
· Proficiently utilize various business programs and software simultaneously
· Receive and analyze incoming memos and submissions; distribute as needed
· Assist in maintain employee personnel roster and badging system
· Discretion with personal and confidential information
· Coordinate corporate events to take place outside of the workplace, such as sporting tournaments, fund-raising sponsorships, and staff events
· Procure and maintain supply of marketing and promotional items
· Ensure marketing materials adhere to branding guidelines and undergo regular review
· Provide general administrative support company wide
