As a Senior Site Selection Coordinator, you will play a critical support role within the Sites Team, handling various administrative tasks to ensure smooth operations. Your responsibilities will include managing Cvent RFP loading, evaluating venue options, creating presentations, updating history spreadsheets, and managing booking pace reports. Additionally, once trained, you will manage small client projects (10-100 rooms on peak nights), continuously seeking ways to improve processes and enhance customer experiences.
ESSENTIAL FUNCTIONS
- Administrative Support: Assist Sites Team with daily administrative tasks, including Cvent RFP loading, venue follow up, venue option evaluations, updating history spreadsheets and managing booking pace reports confirming accurate and up to date information.
- Presentation Creation: Develop comprehensive venue presentations for client presentations, ensuring all client requirements and preferences are addressed.
- CRM Management: Update daily activities and assist in contract turn-over.
- Client Project Management: Manage smaller client projects, ranging from 10 to 100+ rooms on peak nights, ensuring all aspects of the sourcing process are handled correctly and efficiently.
- Process Improvement: Continuously seek opportunities to improve processes and enhance customer experiences.
- Training and Development: Participate in training programs to expand your skills and knowledge, enabling you to take on more complex tasks and responsibilities. Interested in growing.
- Collaboration: Work closely with internal teams to ensure seamless coordination and successful contract execution.
- Client Communication: Maintain clear and effective communication with clients, addressing their needs and ensuring their satisfaction.
MINIMUM AND PREFEREED QUALIFICATIONS
- Bachelor’s Degree or equivalent experience
- Meeting planning/site selection management/hotel management preferred
- Basic CRM or Cvent knowledge preferred
- Advance computer and database management skills required
- Strong organizational and time management skills required
- Strong communication and interpersonal skills required
- Strong customer service skills
- Demonstrated strong attention to detail, legal knowledge
- Ability to multi-task
WORKPLACE LOCATION REQUIREMENTS
- We operate as a Hybrid work environment, working as a combination of remote and in-office presence, as well as the possibility of being onsite at client and/or event locations.
TRAVEL REQUIREMENTS
- Limited ability to travel. Some opportunities may arise to support larger conferences.
SCHEDULING REQUIREMENTS
- While typically normal business hour work day, this position requires some flexibility in scheduling, such as the ability to work evenings and weekends to meet client, event, or company needs during busy time periods.
