Job Summary:
We are seeking a highly capable and dedicated Executive Assistant to play a critical role in managing a fast-paced businesses. This position is ideal for someone who thrives in a dynamic environment and is skilled at juggling multiple tasks efficiently. The Executive Assistant will be pivotal in supporting day-to-day operations, managing administrative staff, and ensuring smooth business functions.
Responsibilities:
- Employee and Operations Management: Oversee daily operations and manage administrative staff. Ensure all aspects of business management are handled efficiently, including employee relations.
- Scheduling and Calendar Management: Maintain and manage detailed calendars for business and personal commitments, ensuring optimal organization and time management. Arrange meetings, appointments, and travel schedules with precision.
- Communication and Note-Taking: Attend meetings and conference calls, taking comprehensive notes and ensuring all action items are documented and followed up on. Serve as a communication link between the business owner, staff, and external partners.
- Stress and Discrepancy Management: Handle workplace stress and discrepancies effectively, ensuring they are resolved in a timely and professional manner. Provide support in decision-making processes during high-pressure situations.
- Personal Assistant Duties: Manage personal tasks for the business owner, including but not limited to caring for a pet dog, handling personal appointments, and assisting with personal projects and errands as needed.
Qualifications:
- Proven experience as an Executive Assistant, preferably with experience managing multiple businesses.
- Strong organizational and time management skills, with the ability to prioritize tasks and handle multiple deadlines.
- Excellent written and verbal communication skills, with a knack for precise note-taking.
- Proficiency in Microsoft Office Suite and calendar management tools.
- Ability to handle confidential information with discretion.
- Experience in HR and payroll management preferred.
- A compassionate and professional approach to handling personal assistant duties, including pet care.
