MAINTENANCE SUPERVISOR JOB DESCRIPTION
The Maintenance Supervisor will constantly strive to improve the operation and maintenance of the physical plants, resident and tenant comfort levels, employee productivity and efficiency of environmental equipment, equipment longevity, energy management and tenant relations. The Maintenance Supervisor will be responsible for all activities related to maintenance and customer service, 24-hour emergency maintenance on-call program, preventative maintenance, apartment turnover maintenance, curb appeal, in accordance with the company’s and the community’s established policies and procedures. The Maintenance Supervisor will provide the highest quality possible in resident customer service while maintaining professionalism at all times. They must represent the company in all aspects of their work and assist the property management staff by consistently communicating effectively and professionally with residents.
Reports to: Property Manager, Regional Manager, & President of Construction.
Supervises: Maintenance Technician
Wage Status: Hourly (Non-exempt, eligible for over time)
Maintenance Supervisor Responsibilities
The Maintenance Supervisor is responsible for ensuring the physical aspects of the community meet the company’s established standards for safety, appearance, and operation within the budgeted financial goals. Responsibilities include, but are not limited to, managing the inventory of “ready” apartments to support the community’s marketing and leasing efforts, scheduling contractors, assisting in completing the turn process, inspecting ready apartments for move-in quality, and any other responsibilities that may be required from time to time as requested by the Property Manager, and or any of the Senior Management Team. The Maintenance Supervisor is also responsible for complying with the company’s and the community’s operating and safety policies and procedures and adhering to federal, state, and local laws pertaining to the operation of the community. This position is also responsible for complying with all state federal and/or local laws relating to Fair Housing.

Duties:
1. General
a) Determine the extent of repairs and necessary corrective measures and is responsible for control and operations of the heating and air conditioning facilities.
b) Check Energy Management Systems each morning before start of building operating hours and periodically throughout the day to ensure that building HVAC systems are operating properly and take measures to correct any issues promptly.
c) Conduct walks of buildings to check for any deficiencies and make any needed repairs.
d) Manage the inventories for electrical, plumbing, HVAC, and other maintenance items to support the property and coordinate the purchase of required supplies from the PM.
e) Maintain records relevant to building operations. Maintain files containing written records of maintenance services, equipment inventory, operating manuals, general supply, and parts inventory, and a library consisting of pertinent data relating to operating equipment, building fixtures, and updated tenant drawings and plans.
f) When and if the need arises, the MS will be expected to devote extra time to building operations and to perform physical operational tasks.
g) Call in and work with contractors for repairs when needed. Coordinate with PM when applicable.
h) Respond to work orders in a timely manner.
i) Review utility bills with PM for possible energy reduction.
j) Estimate prices for repairs.
k) Escort various contractors to survey improvements in building, such as fire alarm system, sprinkler, elevator repairs, HVAC system, etc.
· Must be organized, have a mechanical background.
· Emergency Maintenance On-Call 24/7, as required per site schedule.
· A strong background in apartment maintenance and customer service is mandatory.
· Computer literacy in MS Word, email, Excel, and a familiarity with Internet.
Additional Duties:
· Conduct daily walks of the property to and perform any required maintenance items to ensure that facilities, common areas, and grounds are maintained in top condition as expected by ownership.
· Maintain community appearance and ensure repairs are noted and completed on timely basis. This requires regular community inspections and tours.
· Ensure that grounds, including entrance off main road, are always kept in a meticulous state.
· Assure quality and quantity of market ready apartments.
· Ensure that models and market ready apartments are walked daily and communicate any service-related needs to Property Manager.
· Prepare and/or implement procedures and systems within company guidelines to ensure orderly, efficient workflow.
· Provide constant vendor/contractor communications concerning scheduling, vendor relations and certificates of insurance.
· Consistently use successful techniques and company directives to screen, orient and train new personnel.
· Ensure efficiency of staff through ongoing training, instruction, counseling, and leadership.
· Plan weekly/daily office maintenance staff schedules and assignments.
· Responsible for performing his or her work safely and reporting to the PM any observed safety and security problems.
· On call and respond to calls from the security monitoring firm, answering services.
· Maintain accurate lists, security and stocking levels of building tools and consumable supplies.
· Operation, repair, and preventative maintenance on all electrical and HVAC equipment of the base building, including the lobby and parking lot lights.
· Maintain mechanical, electrical and pump rooms.
· Operation, repair, and preventative maintenance of the Fire Alarm, Fire Sprinkler and emergency systems.
· Work with Property Manager to ensure all annual inspections for Fire Safety devices are conducted with no lapse in certification.
· Installation and repair of locksets and related issues.
· Perform inspections of fire extinguishers, sprinkler systems, etc. as required.
· Snow removal from sidewalks, curbs and loading dock areas using powered and manual equipment.
· Any reasonable assignment or request related to the building operation as directed by Supervisors.
· Ability to read, write, speak, and understand English fluently.
· Strong communication and interpersonal skills.

Additional Requirements
Attendance is an imperative job function. This job may require weekend and after-hours duties to fulfill this position.
