Job Description
Reporting into the Director of Resource Management, you will help lead the staffing and resource management function for creative teams within a large, complex pharmaceutical client account.
In this role, you will serve as a key business partner and work closely with creative leads, account leads, project management, agency business and finance teams, and other CoLab stakeholders to effectively balance multiple concurrent high-priority assignments while developing partnerships across the business to provide the highest level of customer service.
You will leverage your exceptional project management and people skills to promptly deliver high-quality staffing solutions including the management, fulfillment, and reporting of day-to-day staffing requests, ensuring target utilization of staff, understanding current and predict future client resource needs, delivering reporting to project teams, leading status calls, identifying staffing gaps, and supporting other issues relating to resource management.
PLEASE NOTE: This is a hybrid position requiring onsite collaboration an average of 3 days/week. The role is based out of our New York City office located at 375 Hudson Street; all candidates must be local to the NYC metro area and willing to commute into that office on a regular basis.
Primary Responsibilities:

Partner with team and capability leads to understand project needs, budgets, timelines, and scopes in order to inform the development of comprehensive staffing plans that meet client expectations as well as agency business goals.

Maintain team utilization targets and effectively pool and utilize creative resources from across multiple geographies, teams, capabilities, and functions.

Initiate, manage, review, and/or complete staffing requests for full-time and temporary creative resources.

Leverage an understanding of creative resource competencies, skillsets, and interests in order to make informed, effective staffing decisions.

Analyze utilization trends and forecasts and develop reporting and projections.

Maintain and communicate key information to team leads and business partners about current projects, staffing pipeline, resource forecasting, requisition status, and other metrics and key project checkpoints.

Lead weekly staffing meetings and ad hoc meetings as needed.

Maintain an inventory of core competency skills and track individual skills by proficiency, frequency, and context of use.

Drive collaboration, promote smooth workflow, and maintain open communication between project and capability teams, ensuring workflow progresses efficiently and projects/staff are shifted as needed.

Assist staff members with career development by coordinating team member development plans, coaching, and mentoring with their managers and capability leads.

Serve as a change manager and evangelist by identifying resourcing opportunities to optimize business and resource alignment.
Qualifications
-
7+ years of strategic, process-focused resource management, staffing, or workforce planning experience, preferably within an advertising agency or consulting environment.

Experience working within a fast-paced environment with constantly evolving and changing project scopes and timelines.

Experience staffing creative teams including UX, UI, design, copy, content, PM, and similar functions.

A deep understanding of the blend of art and science that makes up resource management.

Strong relationship management skills with an ability to influence and drive decision-making at all levels of the organization.

Excellent Excel skills including pivot tables, V/H/XLookups, etc.

Confident and assertive (but tactful) written and verbal communication style and comfort with presenting to teams and leading meetings.

Excellent negotiation and leadership skills combined with absolute professionalism and confidentiality.

Ability to understand and interpret complex issues and situations and present them in a simple and easy-to-follow manner.

Highly detail-oriented and able to manage multiple concurrent projects with competing priorities.

Logical and analytical with a knack for solving puzzles.

Outstanding organizational awareness and change management skills.

Knowledge of process improvement and facilitation.

Prior people management experience is a plus.

Compensation Range: $91,000 - $134,500 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time.
