PURPOSE OF POSITION:
The primary purpose of the Clerical Associate Level III is to ensure the proper appointment scheduling of patients, accurate verification of patient demographic and insurance verification for all outpatient encounters prior to the closure of the visit (s).

SUMMARY OF DUTIES AND RESPONSIBILITIES:
The responsibilities include, but are not limited to:
1. Provide efficient and courteous services when scheduling patient’s appointments according to the Department’s Standard Work
2. Assures appointment scheduling is completed in accordance with the criteria of the practice(s).
3. Answers incoming telephone calls in a professional and timely manner (by the third ring).
4. Registers patients in a courteous and professional manner via EPIC Cadence Systems according to the Department’s Standard WorkCancels and reschedules patient’s appointments upon request.
5. Ensures accurate patient insurance information is entered into the Epic Cadence system and verified according to Standard Work protocol
6. Cancels and reschedules patient’s appointments upon request.
7. Distributes, educates and informs patients of HIPPA Privacy Notice, Patient Rights, Advance Directives and General Consent Forms-among others as required by Department’s Standard Work. Ensures form is accurately completed, signed by patient, and witness/acknowledged with date and time.
8. Initiates and completes Medicare Questionnaire Forms as necessary.
9. Ensure the visits are completed timely manner according established Department Standard.
10. Scans informed consents and other required patient documentation into the Cadence Epic System.
11. Initiates/Follows Downtime Registration Policy and Procedures when warranted.
12. Prepares and mails Patient Missed Appointment Letters within the timeframe set by the Department’s Missed Appointment Policy. Responsible to assure follow up is documented into the patient’s chart in the Epic System
13. Make reminder calls to the patient 24 to 48 hours in advance of the patient’s appointment time. Informs the patient of what documents/items to bring to the appointment and facility directions (if necessary).
14. Void registrations(s) as necessary.
15. Responsible for generating/preparing daily activity reports for the practice(s).
16. Assists the Coordinating and Assistant Coordinating Managers in supervising Clerical Associate IIs.
17. Supervisory activities include but are not limited to—assigning work, scheduling Clerical IIs , support staff hours, and reviewing/auditing the Clerical II’s work to ensure imposed deadlines are met in an accurate and efficient manner.
18. Ensures adequate administrative supplies are available when needed in the practice by front desk staff.
19. Attends meetings as assigned/scheduled.
20. Opens service tickets as needed for all issues related to their work space/responsibilities.
21. Assists/Covers in other areas as assigned.
22. Communicates work-related issues/problems to direct Supervisor for appropriate follow up.
23. Actively participates in Customer Service and Process Improvement Initiatives.
24. Performs other duties as assigned
25. Follow-up several epic Work Que (Referral, E-Consult, Registration Error and Pre- registration).
