We are looking for an experienced, eager, and highly motivated Office Manager to join and lead our administrative team. This team member will be responsible in keeping our administration organized and efficient while upholding a professional and friendly environment.
Responsibilities:
- Provide administrative support to the office team, including managing calendars, scheduling appointments, and coordinating meetings
- Maintain and organize files, both physical and digital, ensuring accuracy and confidentiality
- Answer customer phone calls, take messages, and redirect inquiries as necessary
- Assist with enrollment process (tours, applications, interviews, etc.)
- Assist with event planning and coordination, including logistics and materials preparation
- Supervise office support staff and provide guidance as needed
- Prepare and modify correspondence with staff, customers, and other stakeholders
- Communicate effectively with team members, clients, and external stakeholders
- Assist Marketing Director in implementing strategies and plans for business growth
Requirements:
- Proven experience as an office assistant or in a similar administrative role
- Ability to multi-task on multiple projects with accuracy and prioritize tasks effectively
- Strong administrative, organizational, and customer service skills
- Shift schedule will fluctuate (8-10 hour shift between office hours, 7am-6pm)
- Proficient in using office software such as Microsoft Office/365 Suite (Word, Excel, PowerPoint)
- Excellent communication skills, both written and verbal, maintaining diplomacy
- Attention to detail and accuracy in all work tasks
- Ability to work independently as well as part of a team
- Flexibility to adapt to changing priorities and deadlines
Qualifications:
- Bilingual is a plus (English, Spanish, Hatian Creole, Urdu, Russian)
- Bachelor's Degree (Business Administration or other applicable degree)
- Technologically savvy & knowledge of mediums (social media, Microsoft Office, Google Drive, etc.)
