Role Overview: As a Customer Service Manager, you'll plan, direct, and control our customer service functions. You'll manage a dedicated team responsible for booking and scheduling service calls, aiming to achieve department booked call and sales goals. Your leadership and performance will be crucial in shaping our customers' perceptions of our company.
Key Responsibilities:
- Create and manage an inbound and outbound call schedule to boost sales.
- Supervise and train staff to convert calls into booked service appointments.
- Oversee dispatch to ensure the right technicians are matched to every job.
- Develop and refine call scripts to be clear, compelling, and effective.
- Get potential customers excited about Kyzar Air Conditioning and encourage word-of-mouth referrals.
- Conduct training sessions to improve call booking and ensure efficient dispatch of incoming calls.
- Become an expert on your market, understanding customer needs and the best ways to engage them.
- Monitor staff performance, review recorded calls, and provide feedback to promote sales.
- Adhere to and enhance our plan for resolving customer complaints quickly and favorably.
- Develop a cost-effective and measurable coaching and training platform.
- Show employees how their contributions matter to the company's success.
- Coach employees on building trust and demonstrating empathy with customers.
- Regularly present reports to management in an easy-to-understand format.
- Ensure sufficient staffing to meet business demand and seasonal spikes.
Competencies for Success:
- Proven track record in customer service and experience in managing, training, and coaching a team of 4+ members.
- Call center management experience is a plus.
- Experience in the HVAC or a similar industry.
- Familiarity with Service Titan Software.
- A leader who understands how to diffuse conflict and convey empathy.
- Ability to inspire and lead others to achieve company goals.
- Proficiency in Microsoft Office (Word and Excel) and tracking software.
- Highly organized with exceptional follow-through abilities.
- Thrives in a fast-paced, goal-driven environment.
- Ability to conduct regular meetings to update and facilitate performance knowledge within the department.
- Experience in developing and meeting financial and performance goals.
- Ability to create and execute yearly budget and business process plans.
- Expertise in implementing and improving customer service systems to enhance service and profitability.
