POSITION SUMMARY:
This position provides a wide variety of administrative and staff support services. Performs office work directly related to property management and the general business operations of the association; May assist with budget preparation, control of records and reports regarding operations, etc., and emergency service duties.
Duties and Essential Functions include the following. Other duties may be assigned to meet business needs.
· Answer phone calls and emails daily.
· Assist property manager(s) on the day-to-day operation of the communities, such as preparing meeting minutes, agendas, notices, etc. Walk the community daily.
· Provides callers with information such as website, and other related information.
· Assist residents in their concerns and complaints.
· Process maintenance requests from residents and the Board of Directors.
· Retrieve records as needed.
· Update and maintain owners’ records.
Education/Training:
- Associates degree with concentration in business preferred, or equivalent combination of education and experience.
Experience/Knowledge/Abilities:
- Must possess strong administrative background.
- Must speak, read and write English & Spanish
- Two (2) to four (4) plus years of related work experience.
- Strong working knowledge of customer service principles and practices.
- Excellent interpersonal, office management and communications skills.
- Self-starter with excellent communication and customer service and telephone skills.
Computer Literacy:
- Ability to prioritize work with minimum supervision.
- Intermediate proficiency in Microsoft Windows software.
Special Requirements:
- Physical demands include ability to lift to 50 lbs.
- Standing, sitting, walking and occasional climbing.
- Required to work at a personal computer for extended periods of time.
- Talking on the phone for extended periods of time.
- Ability to work extended hours (if necessary) and attend Board meetings as required.
- Driving when necessary.
Position Type/Expected Hours of Work
This is a full-time non-exempt position, 40 hours per week, Monday-Friday from 9:00 am to 6:00 pm with 1 hour lunch.
