Job Title: Development External Relations Team (DERT) Associate

Compensation: $51,000 - 53,550/year (Dynamic Benefits Package!)
Position Overview: The DERT (Development External Relations Team) Associate will play a pivotal role in supporting the DERT team composed of the Executive Director, External Relations Manager, Development & Grants Manager and Special Projects Manager by managing a variety of administrative and logistical tasks. This position is responsible for supporting the team in strategic priorities through efficient handling of scheduling, communication, community engagement, and event planning support. The ideal candidate will be detail-oriented, proactive, and capable of juggling multiple responsibilities simultaneously.

You will drive Yu Ying’s mission, vision and team’s success by:
- Providing scheduling and administrative support to the Board of Trustees on whole board and committee related needs
- Supporting the internal communications systems and processes
- Donor relations
- Event planning
- Staff culture events
- Social media assistance
Key Responsibilities:
Providing scheduling and administrative support to the Board of Trustees on whole board and committee related needs
Scheduling and calendar management
Organize and manage monthly Board meeting material coordination and follow up
Distribute meeting notices and ensure proper scheduling.
Support BOT retreat event planning and execution.
Supporting internal communication systems and processes
- Assist in drafting communication templates and other related materials for managers to revise and push through the approval process
- Support the efforts to ensure internal messages are released according to existing communications cadence and timeline
Donor Relations:
- Write and send thank you notes for YY Executive Director’s signature to all donors contributing $500 and above.
- Track Gala donations and manage thank you notes for special events.
- Support Development and Grants Manager to obtain grants management compliance items with external DERT colleagues for reports.
Event Planning:
- Provide on-the-spot support for development events, including planning and execution.
- Ensure packets and school swag are prepared and available for school tours and special events.
- Staff meetings and off-site events, acting as the point of contact and liaison to ensure smooth operations.
Staff Culture Events:
- Assist in calendaring and systematizing staff culture events for the academic year 2024-2025.
Social Media Assistance:
- Aid in managing social media accounts, including posting updates and engaging with the audience.
- Assist in capturing/editing photos and videos
- Basic video editing (iMovie preferred)
Qualifications:
- Bachelor's degree or equivalent experience in administration, communications, or a related field.
- Proven experience in administrative support, event planning, and/or community engagement.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite and knowledge management systems.
- Experience with social media platforms and basic photo/video editing tools.
- Ability to work independently and as part of a team.
- Attention to detail and ability to manage multiple tasks simultaneously.
Preferred Qualifications:
- Experience in a non-profit or educational setting.
- Familiarity with donor management and relations.
- Creative problem-solving skills and ability to think on your feet.
