Program Operations Manager
Reports to: Director, Residential Services
Agency: Sojourner
FLSA Classification: Exempt
Hours: Full-Time (variable hours. Some evenings and weekends required). On call rotation.

Summary
Responsible for the day-to-day operation of residential services; provides operational oversight and milieu management of residential site.
Supervisory Responsibilities:
- Direct supervision of up to 5 – 20 staff

Job Duties and Responsibilities
- Manages and runs all team meetings, supervision, training, and any other activity as required.
- Ensures the provision of services that are culturally sensitive, medically necessary, and patient centered.
- Reviews patient services daily to ensure provision of services occurs in accordance with ASAM level of care standards.
- Works with clients and staff in an ethical, culturally sensitive and respectful manner.
- Provides supervision to direct reports and completes evaluations of staff in a comprehensive and timely manner reflecting areas of achievement as well as areas of needed improvement.
- Participates in the selection, orientation and training of new staff and the continued training of current staff.
- Gives and receives constructive feedback that promotes teamwork, professional growth and job performance.
- Provides coaching and feedback in a timely manner on areas that supervised staff are requiring attention to improve their expected performance.
- Monitors quality trends and implementation of quality improvement initiatives and participates in the design and implementation of program improvement to ensure the provision of quality services.
- Completes all assigned reports in a concise and timely manner.
- Completes chart reviews in accordance with QI guidelines.
- Monitors and maintains accurate, complete, concise and timely documentation in the electronic medical record; that represent clinical services, clinical evaluations, and medically necessary treatment recommendations.
- Participates in care coordination activities with representatives of other agencies; provide reporting as needed or requested by community providers.
- Provide and/or arrange for crisis intervention for clients in a crisis.
- Establishes a rapport with clients and staff maintains clear professional boundaries and focuses on assignment/task completion.
- Balances and prioritizes responsiveness to multiple staff and tasks.
- Develops and maintains staff schedules; provides support to other residential facilities to ensure coverage of shifts.
- Monitors and manages facility safety, security, ensure facility cleanliness and serviceability; client attendance to groups and individual sessions; complete all orders for supplies.
- Complies with all agency policies and procedures; promotes professional behaviors, dress, and interactions with clients, community stakeholders, and staff.
- All other duties as assigned.
Education:
- Minimum of 2 years of management experience with 5 years’ experience in the mental health/addiction treatment field.
- Bachelor’s degree in psychology, sociology, or other healthcare related field or equivalent and two years’ work experience in a related healthcare field.
Licensure:
- LCDCIII, LSW, LPC issued by the State of Ohio. (Must obtain license within 90 days of hire).

- Complies with all federal and state regulations governing diagnosis and treatment of mental, emotional, and substance use disorders.
- Complies with and maintains client confidentiality as outlined in HIPPA and 42 CFR Part 2.
- Knowledge of human behavior and performance; individual differences in ability, personality, and interests; learning and motivation.
- Knowledge of group behavior and dynamics, societal trends and influences, human migrations, ethnicity, and cultures and their history and origins.
- Knowledge of principles and processes for providing customer and personal services.
- Operate a personal computer and other office equipment.
- Effective verbal and written communication skills.
Travel
- Minimal – may have to travel to different residential sites.
