ESSENTIAL FUNCTIONS
- Oversees all facets of the AOA member dues billing processes – individual and groups – including schedule, annual invoicing and drop processes.
- Review annual billing for accuracy and correction based on AOA business rules, requirements, and membership options.
- Manages vendor bid and selection process for the dues billing, monitors cost to ensure expenses are within budget, serves as primary liaison with vendor for any postal mailings.
- Maintains documentation for Standard Operating Procedures related to AOA membership billing.
- Provides support with data analysis and reporting activities.
- Works with immediate supervisor and others to maintain, refine data, and provides reports on AOA membership, utilizing the AOA database, data warehouse and other internal and external data sources.
- Contributes to department’s efforts to increase the retention and recruitment of DOs.
- Uses member identification data, demographic data, transaction data, marketing action data, and other additional data sources to segment and profile DOs for targeted communication.
- Conducts statistical and performance analysis to identify membership trends as assigned.
- Manages AOA affiliate member recruitment program as part of AOA billing process.
- Prepare monthly recruitment and financial reports for each participating affiliate on member recruitment, liaise with Finance department to allocate affiliate dues revenue and process AOA administrative fees.
- Assists and contributes to streamlining systems and applications that will improve AOA's customer service, productivity, and database quality.
- Supports immediate supervisor with assistance in developing strategies and processes for data quality assurance initiatives. Provide support for existing reports, dashboards, or other tools.
- Provides back up support to the AOA Member Resource Center as needed.
- Answer phone, email requests related to AOA services, including processing dues payments, receipts, and/or refunds, Web site login requests, letters of good standing, new osteopathic student IDs, and other service center responsibilities as assigned.
- Collaborates with other departments and functions at AOA, providing exceptional service and support.
MINIMUM QUALIFICATION OR EXPERIENCE
Education: Four-year degree in computer or business-related field.
Experience: 5-7 years in association industry setting, working with membership data, billing, and a strong focus on customer service.
SPECIAL SKILLS
- Experience in Microsoft Office Suite, Microsoft Access, and SQL.
- Highly proficient in Microsoft Excel, Access, and SQL experience preferred.
- Proficient use of Databases and data structures.
- Familiarity with association management software preferred (i.e. iIMS, Fonteva)
- Familiarity with Salesforce a plus
