The Case Manager/Executive Assistant position is a hybrid position with the ability to work both from home and in office. Our office is located in Pacifica, CA in the SF Bay Area. We require the candidate to work in the Pacifica office approximately 2-3 days a week on average.
ESSENTIAL JOB DUTIES INCLUDE, BUT NOT LIMITED TO:
- Provide high-level administrative support to CEO, Administrative Team, and Report Writing Team.
- Manage calendars, schedule appointments, and coordinate meetings and conferences.
- Prepare and distribute correspondence, memos, reports, and presentations.
- Take minutes during meetings and transcribe them accurately.
- Answer phone calls, screen and direct inquiries to the appropriate person or department.
- Maintain electronic and physical filing systems, ensuring documents are organized and easily accessible.
- Handle sensitive and confidential information with discretion.
- Coordinate travel arrangements and accommodations for executives.
- Perform general clerical duties such as photocopying, scanning, faxing, and mailing.
- Data entry for various case management reports
- Process all incoming medical records
- Sorting, indexing medical files. Typing medical document list.
- Maintain and regularly follow up on case inventory
- Manage and respond to emails
- Finalize completed reports and serve to appropriate parties
- Grade vocational testing packets completed by our disabled clients.
- Maintain clean and orderly office
- Assist Office Management with various tasks which may be assigned to you
REQUIREMENTS:
- Bachelor's Degree.
- Proven experience as an executive assistant working under CEO of company.
- Experience working in the medical/legal setting.
- Proficient in using computer software such as Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite.
- Ability to operate phone systems and other office equipment.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Excellent written and verbal communication skills.
- Quick learner and eager to take on new tasks
