**Job Summary:**
We are seeking a detail-oriented and organized Executive Assistant/Office Manager to support our team. This role requires a proactive individual with exceptional communication skills and the ability to handle a variety of administrative tasks efficiently.
**Duties:**
- Manage executive calendars, appointments, and meetings
- Coordinate travel arrangements and prepare detailed itineraries
- Assist in event planning and organization
- Handle incoming calls, emails, and correspondence
- Perform front desk duties including greeting visitors and managing deliveries
- Maintain office supplies inventory and place orders when necessary
- File, transcribe, and proofread documents as needed
- Utilize Google Suite for scheduling, email correspondence, and document management
- Provide personal assistant support to executives as required
- Familiarity with DocuSign for electronic document signing
- Manage phone systems and direct calls appropriately
**Qualifications:**
- Fluent in Portuguese and English is a must
- Proven experience as an Executive Assistant or Office Manager
- Strong organizational skills with the ability to prioritize tasks effectively
- Proficiency in Microsoft Office Suite and Google Suite
- Excellent communication skills, both written and verbal
- Ability to handle sensitive information with confidentiality
- Experience in event planning is a plus
- Familiarity with phone systems and office equipment operation
