Executive Assistant to Senior Minister

Purpose: The Executive Assistant to the Senior Minister provides key strategic and administrative support to the Senior Minister in the administration and operation of the church, in the work of rebuilding the physical site, and in work in the public square. This position coordinates key strategic and tactical support on the following teams that involve the Senior Minister: Public Theology, Worship, Church Growth, Middle Rising Rebuilding Project, and Stewardship/Fundraising. On behalf of the Senior Minister, they are often the primary liaison to staff, board members, congregants, partners in the rebuilding and fundraising projects, and with organizations booking the Senior Minister for speaking and teaching engagements.
Skills Required: The successful candidate is a passionate, compassionate and organized team player, someone who will bring executive skills to problem-solve in a dynamic system led by a fast-moving leader. The candidate is comfortable discerning priorities for the Senior Minister, who is both in charge of the system and serves as public theologian. This means attending meetings and taking minutes, as well as managing and scheduling the Senior Minister’s calendar, correspondence, public engagements, travel arrangements, and other senior ministry projects, so that the Senior Minister can engage the congregation and the community in the raising of a new physical/digital site and funds for our movement for love and justice. Expert knowledge in Microsoft Office Suite, Outlook, Adobe Acrobat Pro, scheduling, database and project management software. Comfort with X(Twitter), Instagram, Threads and Tik Tok a plus.
Position Details:
Immediate Supervisor: Senior Minister and Public Theologian
Schedule: Sunday through Thursday, for a total of 40 hours per week.
For special events, the weekly schedule may shift, and appropriate days off will be arranged. Some weekend and evening flexibility to cover church events is to be expected.

Key Responsibilities:

Provides key strategic support to Senior Minister including but not limited to correspondence, calendar, travel management (arrangements, travel, and expense reporting), mail/email, phone calls, worship production, public theology engagements, social media and communication strategies, annual justice conference, and other strategies that extend the Senior Minister and Middle into the world.

Manages communication, minutes, and scheduling for Middle Consistory and Board, Middle Rising (the rebuild and fundraising project), and for Senior Ministry/Public Theology

Supports Senior Minister in meeting preparations that include scheduling, preparation, research, generating and maintaining reports.

Posts social media in collaboration with Senior Minister and Director of Communications.

Liaises with Senior Minister and Executive Minister for Strategy and Operations, vetting speaking projects, public theology engagement, and prioritizing competing demands.

Proactively facilitates Senior Minister’s work by addressing important issues under guidance of Senior Minister and Executive Ministers, as needed.

Schedules Senior Minister to Public Theology (speaking and writing engagements), Middle Rising (stewardship and building project), Freedom Rising (justice programs) meetings with congregants, and care.

With Senior Minister, attends to the details of worship, public theology, education, speaking, strategic planning, visioning, Middle Church and Freedom Rising board meetings, and stewardship campaigns.

Responds to Senior Minister correspondence and care concerns as requested.

Partners with Senior Minister, ministers, and other program staff on logistics for worship, conferences, gatherings, trainings, and church-wide events.

Other projects and duties as are needed to fulfill the vision and mission of the church.
