Position Summary: This position is responsible for the day to day operations of the spa. This individual is required to meet FDA, DORA and practice guidelines, manage finances, manage team members, oversee stock/inventory, spa services as well as delegating tasks and evaluating new services.
Qualifications: High School Diploma, Degree in business or related field and Medical Spa Experience
Minimum of 4 years management experience in any field
Skills: Superior customer service both in person and on the phone
Microsoft Computer skills
Oversees multiple tasks in a fast-paced environment.
Oversees Inventory
Excellent communications skills, verbal and written.
Employee leadership and conflict resolution skills
Ability to understand and manage to a budget and make meaningful proformas.
Marketing
People:
1. Expresses appropriate work appearance and behavior
2. Organizes and set agendas for the monthly spa meetings
3. Attends various all-staff and supervisory meetings
4. Oversees:
a. All spa provider schedules months in advance
b. Appointment confirmations
c. Follow up phone calls
d. Booking, rescheduling, and cancelling appointments in AllScripts PM & WellApp.
e. Provider templates and releasing appointment spaces on provider’s schedules
f. Preparing charts and medications
g. Sending and receiving lab reports and requisitions
h. Ordering of pellets, products, materials, and supplies
i. Communication with customers, employees and company representatives
j. Coordinates training
5. Advises CSA administration and SPA physicians to maximize company operations
Service:
1. Oversees
a. phone calls, emails and online queries
b. provision of necessary documentation for insurance submission upon patient’s request (pellets)
c. meeting client needs and exceeding client expectations
d. Provider/Patient requirements and requests (labs before visit, charts/medication prepped, necessary patient documents completed and signed, stock rooms with supplies) in timely manner.
e. Shipment of product to out of town patient’s same day of phone call purchase
f. private parties, special events and seminars including:
i. Marketing – in and out of office
ii. Reserving venue space
iii. Organizing food and beverage service
iv. Preparing paperwork, price lists, gift bags and raffle items as necessary
v. Manage questions and RSVP’s for events

Quality:
1. Attends required annual training as required by state and vendor contracts
2. Evaluates and changes departmental procedures, policies and patient paperwork as needed and review with spa Providers before implementing the change
3. Supports clients and providers and maintains open communication

5. Maintains working knowledge of product and services to better serve clients and providers
6. Maintains a clean, organized environment in the spa office and all spa rooms
Finance:
1. Oversees
a. daily charge input
b. daily batch reconciliations
c. submission of bi-monthly payment reports to BioTE as contracted
2. Manages to a budget by planning and anticipating departmental needs so we don’t have supply shortages
3. Strategically utilizes departmental resources
4. Submits monthly financial reports to Controller and quarterly reports to CPA
Growth:
1. Evaluates new services for growth opportunities.
2. Develops, implements and track departmental goals
3. Attends seminars, workshops and continuing education courses to maximize personal and professional growth
4. Oversees
a. departmental marketing
b. promotional campaigns
c. Online – Facebook, Instagram and Newsletter
d. Radio time/TV commercial
e. Inner office signage including stocking brochures
5. Evaluates departmental challenges – implement policies or procedures to remedy
6. Maintains knowledge of new services/products the spa industry offers

Pay: $25.00 - $32.00 per hour
