The Administrative Operations Specialist, who reports to the President and Director of Operations, is entrusted with overseeing administrative functions and participating in various strategic initiatives. This role entails ensuring the office operates in an efficient, coordinated, and highly professional manner on a day-to-day basis while providing support across all areas of operations.

MAJOR RESPONSIBILITIES:
1) Support the work of President and Director of Operations with administrative tasks
2) Expense Report Verify and Process
3) Generate Reports in Online Systems, MS Word and MS Excel
4) Coordinate Legal Drafts, Signatures via DocuSign and Filings
5) Receive, Scan, Label and File Invoices
6) Organize and schedule conference meetings and event planning
7) Coordinate Client/Associate Gift Purchase, Package, Ship and Communicate
8) Support Director of Operations on New Hotel, Client, Associate Setup
10) Process and handle real estate broker licensing applications and renewals
9) Maintains office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
10) Maintains the professional and organized appearance of office
QUALIFICATIONS:
1) College or and 3 plus year of work experience.
2) Previous experience as an Office Administrator or Manager is desirable.
3) Experience with managing and delivering multiple projects on time.
4) Advanced Microsoft Office skills required -Word, Excel
5)Apple product proficiency required
6) Previous experience with Zoom and DocuSign preferable

7) Ability to multitask in a high volume atmosphere is essential.
