on-siteLANDMARK. is seeking a VP of Property Management to work out of the corporate office in Union, NJ. The Vice President of Property Management is responsible for overseeing the property management company, operational and financial oversight of the apartment communities, and execution of the overall operating plan for each entity.
Duties and Responsibilities:
· Oversee and direct day-to-day property operations across the portfolio, including supervision of the Management Team
· Assist in set up and staff training for new multi-family properties in conjunction with the development arm and consultants
· Coordinate with construction and design professionals to setup and implement lease-up package and amenities for new construction properties.
· Ensure all existing and new Property Management are adequately trained and understand the owner’s expectations
· Work to train and develop staff at all levels
· Create and apply operational best practices that emphasize quality, organizational effectiveness, management engagement and the continued development of an exceptional workforce
· Maximizing income and control costs for each property while increasing property value and adhering to established quality standards
· Review, approval and monitoring of all contracts and expenditures
· Periodic inspection of properties and on-site evaluation of the Management Team
· Weekly review and evaluation of leasing results with property managers
· Weekly overview of leasing/management of properties with ownership
· Diagnose leasing challenges; design, develop, or customize the processes, systems, strategies and solutions to best resolve those challenges and achieve the lease up goals. Explore alternative solutions and recommend best-fit solutions in alignment with agreements and business goals
· Responsible for the evaluation and variance analysis of monthly financial and operational reports and ensure that they are in line with the budget and operating plan
· Oversee annual budgeting process with management company, internal accounting department and owners.
· Monitor AR collections on a weekly basis
· Monitor 3rd party tenant utility billing providers
· Monthly reporting of financial and operational performance to the leadership team
· Oversee & Direct Property Management Division; Interface with directors of maintenance, development, Leasing and Construction
· Manage Rent Collections A/R Coordinate & manage Tenant/Landlord court & stipulations
· Manage and oversee Move-in and Move-out process; Ensure timely unit availability and turnaround
· Perform periodic field inspections to ensure proper operation of Division and company standards are met; Ensure Curb Appeal and quality of properties
· Ensure properties are safe and proper regarding risk management and insurance
· Maintain relationships with suppliers, vendors, and professionals servicing the company or property
· Establish and maintain relationships with Municipalities and Government Agencies
· Oversee Special Projects as needed
· Ensure Company policies, standards and goals are followed and achieved
· Analyze Divisions Performance; Adjust functions accordingly to meet the organizations requirements
· Facilitates meetings and training, etc. for the purpose of identifying issues, developing recommendations, and supporting the employees performance and needs
· Develops and monitors budgets for Division; Ensure expenses are within budget; adhere to company approval process
· Establish & Develop operating and capital budgets for the PM Division (Contractual / Repair & Capital)
· Advocate & implement technology and software to increase operational efficiency and promote proactive customer service
· Performs personnel functions for Division (e.g., interviewing, evaluating, supervising, counseling, disciplining, directing, training, etc.) for the purpose of maintaining adequate staffing, enhancing productivity of personnel, and achieving objectives within budget
· Prepares a wide variety of written materials (e.g., correspondence, memos, reports, policy/procedures, budget, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information, update property operations manual, when necessary along with O&M Plans
· Must possess strong written and oral skills
Qualifications:
· Bachelor’s Degree in business or related degree is required
· 5 - 7 years of recent multi-family/mixed-use market rate property management experience in a regional property management position of at least 700 units preferred, with onsite experience preferred. Lease-up new construction apartment communities.
· Proficiency in Appfolio.
· Computer skills including: Microsoft Office and Internet
· Work well under pressure, exercise good judgment when making decisions and handle stressful situations in a mature, professional manner
· Ability to multi-task and adapt to changing priorities
· Ability to work independently with minimal supervisions
· Excellent written and verbal communication skills
· Experience in residential marketing and management and knowledge of applicable laws and regulations
· Expertise in Fair Housing and ADA
· Knowledge of established accounting and bookkeeping practices and procedures including the ability to create budgets and analyze financial statements
· Must be willing and able to travel to properties, offices, conferences or as required.
· Experience managing and mentoring others in a team based environment.
· Ensure that each property in the LANDMARK Residential portfolio is in compliance with the established LANDMARK Residential standards of excellence
