Position Purpose
The New Business Process Specialist will be responsible for managing and processing client documents related to new business accounts. This role ensures the accuracy and integrity of new business account operations.
This person will be responsible for accurately processing client documentation, managing new business procedures, overseeing the efficient transfer of funds into new investment positions, and establishing and maintaining new investment accounts with precision.

Paid Holidays
The Company provides paid time off for six (6) major holidays. Whenever one of these holidays falls on or is observed by the federal government on a Monday, Tuesday, Wednesday, Thursday, or Friday.

Duties and Responsibilities
Reposition Assets ASAP
- Open new accounts, transfer funds to new and existing accounts and monitor movement.
- Ensure clients have received all legally required disclosures and documentation before opening accounts.
- Move money to its final position quickly, efficiently, and properly the first time. This includes:
- Obtain all client information and use the proper forms per account type for each account application. Confer with advisor/client as needed for missing information.
- Understand the custom submission process for each account type and/or company.
- Assist clients with 401(k) / 403(b) rollover calls, etc.
- Understand and obtain third-party authorization on accounts as required.
- Prepare documents and DocuSign’s for client forms. Ensure documents are properly signed and returned in a timely manner.
- Keep metrics up-to-date and pristine.
- Prepare for delivery meetings including all delivery requirements and account summaries (Panoramix).
- Handle death claim notifications, claim submission and payout process.
Position Requirements
- At least three (3) to five (5) years of experience in new account document processing, e.g. as a loan processor, mortgage processor, banking representative, paralegal, or similar role.
- Three (3) to five (5) years of experience in a fast-paced office environment.
- Licensed in insurance and Series 65 a plus, but not required.
- Financial industry background is a plus.
- Past experience as a brokerage Sales Assistant is a plus.
- CRM experience is a plus.
- Desire to learn and grow.
- Exceptional organizational, time and project management skills.
- Valid driver’s license.
- Must be able to workdays, some evenings, and some weekends for scheduled events.
- Proficient use of Microsoft Office Suite, including PowerPoint, Word, Excel, and Outlook.
- Experience using social media platforms.
