Job Title: Receptionist/Administrative Assistant
Position Summary: The administrative assistant is the supports staff of the agency. This position does what is requested of it in addition to its own responsibilities. This position is also responsible for the medical records.
Qualifications:
- Must have a high school diploma.
- Willing to train in mental health issues and Medicaid terminology.
- Maintain filing system of documents.
- Basic Computer and Equipment Competencies
Major Task List:
- Adheres to the agency’s code of conduct and other policies and procedures.
- Adheres to appropriate and professional etiquette with clients, family, visitors, staff members and other stakeholders.
- Answers incoming calls, take messages and distributes correspondence to designated departments/staff.
- Assumes role as scheduler for all client orientation, clinical and psychiatric appointments.
- Responsible for filing and maintenance of client’s records. Responsible for distributing prior authorization and other applicable treatment documentation.
- Responsible for importing and exporting data specific to EMR System and computer including, client information, client’s eligibility, client’s pharmacy monitoring reports, developing, and processing departmental reports, memos; developing, monitoring, and maintaining the agency scheduling calendar, emails, and other correspondence, when applicable.
- Use of various office equipment (ex: copy machines, calculators, fax machines, and computers).
- Work well under pressure.
- Effectively plan work.
- Work independently, as necessary.
- Meet deadlines.
