Job Title: Data Entry Clerk - Payroll

Reports To: Payroll Manager / HR Manager
Job Summary:
We are seeking a detail-oriented and reliable Data Entry Clerk to join our payroll team. This is a temporary position lasting at least six months, with the potential for permanent hire. The successful candidate will be responsible for assisting with the accurate and timely entry of payroll data, reviewing timesheets, verifying hours worked, and assisting with direct deposits. This role requires strong organizational skills and attention to detail to ensure payroll processes run smoothly and efficiently.
Key Responsibilities:
· Review Timesheets: Examine employee timesheets for accuracy and completeness. Ensure all entries are correct and comply with company policies and labor regulations.
· Verify Hours: Cross-check reported hours with schedules and other records to confirm their accuracy. Report discrepancies to the Payroll Manager.
· Enter Payroll Data: Accurately input payroll data, including hours worked, deductions, and direct deposit information, into the payroll system.
· Assist with Direct Deposits: Help with setting up and maintaining direct deposit accounts for employees, ensuring all information is correctly entered and updated.
· Handle Inquiries: Provide support for payroll and HR-related inquiries, responding to employee questions and resolving issues in a timely manner.
· Maintain Records: Keep detailed and organized records of payroll transactions, ensuring confidentiality and compliance with company policies and legal requirements.
· Support Payroll Processing: Assist with the preparation and processing of regular payroll cycles, ensuring accuracy and adherence to deadlines.
· Collaborate with HR: Work closely with the HR department to ensure seamless integration of payroll and HR data, assisting with various HR-related tasks as needed.
· Compliance: Ensure all payroll practices are compliant with federal, state, and local regulations.
Qualifications:
Education: High school diploma or equivalent; additional education in accounting, finance, or related field is a plus.
Experience: Prior experience in payroll processing or data entry is preferred.
Bilingual in English and Spanish is a plus
Skills:
· Proficiency in data entry and computer systems, including MS Office (Excel, Word).
· Strong attention to detail and accuracy.
· Excellent organizational and time management skills.
· Ability to handle sensitive and confidential information with discretion.
· Good communication skills, both written and verbal.
· Familiarity with payroll software and HRIS systems is an advantage.
Working Conditions:
· Office environment with typical working hours.
· Occasional overtime may be required during peak payroll periods.
