Job Summary: We are seeking a highly organized and detail-oriented Supplementing Specialist and Office Administrator to join our team. The ideal candidate will have extensive experience with Xactimate software and preferably with Jobnimbus software. This dual-role position involves managing supplementing tasks for construction projects and performing general office administrative duties to ensure smooth operations.
Key Responsibilities:
Supplementing Specialist:
- Utilize Xactimate software to create accurate estimates and supplements for construction projects.
- Review and analyze project scopes, estimates, and insurance claims to identify opportunities for supplements.
- Communicate with insurance adjusters, clients, and project managers to negotiate and secure approvals for supplements.
- Ensure all documentation and supplements are complete, accurate, and submitted in a timely manner.
- Track and follow up on the status of submitted supplements to ensure prompt resolutions.
- Identify potential site hazards such as asbestos, lead paint, and mold, ensuring proper safety protocols are followed.
- Stay knowledgeable and up-to-date on Florida building codes and regulations.
- Possess a strong working knowledge of the insurance claims process for exterior home restoration, including roofing repair and replacement.
Office Administrator:
- Perform general office administrative duties, including answering phones, managing emails, scheduling appointments, and maintaining office supplies.
- Assist with the preparation and processing of project documentation, contracts, and permits.
- Maintain organized records and filing systems for all project-related documents.
- Use Jobnimbus software (preferred) to manage project workflows, customer information, and communication.
- Support the construction team with various administrative tasks as needed to ensure efficient project execution.
Qualifications:
- Proven experience with Xactimate software is required.
- Experience with Jobnimbus software is preferred.
- Previous experience in a construction-related role, particularly in supplementing or project administration, is highly desirable.
- Strong organizational skills and attention to detail.
- Excellent communication and negotiation skills.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- High school diploma or equivalent; additional education or certifications in construction management or related fields are a plus.
- Ability to identify potential site hazards (asbestos, lead paint, mold, etc.) and ensure proper safety protocols.
- Knowledgeable and up-to-date on Florida building codes.
- Strong working knowledge of the insurance claims process for exterior home restoration, including roofing repair and replacement.
