JOB DESCRIPTION POSITION: Human Resources Assistant SUPERVISOR: Director of Human Resources FLSA CLASSIFICATION: Non-Exempt
JOB QUALIFICATIONS EDUCATION: BA or BS Degree in Administrative Management, Human Resources, Business, or a related field from an accredited college or university, or 1 or more years relevant experience in Human Resources.
EXPERIENCE: Some experience in human resources desired, including experience with hiring practices, longevity recognition, payroll systems, Affirmative Action and EEO regulations, employment law, accounts payable, employee relations, and organizational management.
OTHER REQUIREMENTS: 1. A criminal and Motor Vehicle record which meets company standards. 2. A valid Colorado Driver’s license. 3. Verified legal status to work in the United States. 4. Professional demeanor and ability to safeguard confidential information. 5. Computer competency and advanced ability in Microsoft Office Suite. 6. Experience with HRIS preferred.
POSITION SUMMARY The Human Resources Assistant is responsible for recruiting and hiring new staff, longevity recognition, coordinating agency benefits, and personnel administration. The incumbent is also responsible for supporting the Chief Financial Officer (CFO) and the Staff Accountant with reporting functions, and retirement benefit management.
ESSENTIAL FUNCTIONS
Staff Recruitment, Hiring, and Retention
1. Monitor staffing needs in all programs. 2. Assist with recruitment process including advertising, attending job/career fairs, processing applications and completing background checks in a timely manner. 3. Ensure that all new employee paperwork is submitted to the Finance Office and Human Resources Office within three days of hire date. 4. Enter and maintain employee information in Paycom database. 5. Evaluate and monitor staff turnover in all program areas and help develop recruitment and retention strategies. 6. Assist the Director of Human Resources to ensure that MVDS abides by all employment laws and educate supervisors about the rights of employees and applicable policies. Benefits Coordination 7. Assist the CFO and Director of Human Resources to enroll and manage agency insurance and retirement benefits for eligible staff. Personnel Administration 8. Assure consistent application of personnel policies and procedures throughout the company. 9. Serve as a liaison and facilitate communication between staff and administration. 10. Participate in revision of job descriptions. 11. Assist with update of Employee Handbook annually and/or as needed. 12. Assist with review and revision of staff incentive programs. Assess staff contributions and coordinate staff recognition. 13. Assist with staff education about programs such as workplace safety, FMLA, Workers’ Compensation, Americans with Disabilities Act, and other employment programs. 14. Assist the Director of Human Resources with Unemployment and Worker’s Compensation programs/claims as needed if necessary or in Director’s absence. 15. Obtain training and develop expertise to enhance and expand use of existing and new HR, timekeeping and payroll databases and reporting mechanisms. 16. Maintain accurate records of training completion, security groups, timecards, and phone privileges as related to ADP and company needs.
