- Position: Scheduling Coordinator
- Location: Wakefield, MA
- Status: Non-Exempt, Hourly
- Hours: Monday-Friday, 30-40 hours per week.
- Hourly Rate: $20.00 - $25.00 per hour
Summary: Responsible for answering phones, coordination of care, responding to requests for contract and private intakes, scheduling of field staff, and recording schedules, notes, services authorizations, and client and employee information in the computer scheduling software. This position requires attention to detail to ensure that the schedules are accurate.

Essential responsibilities and requirements:
- Welcome new field staff. Provide instructions about how you will work with new staff members and discuss expectations for work performance and timely submission of paperwork.
- Answer phone calls and respond to the employee, referral sources, clients, and potential client needs. 
- Provide field staff addresses, schedules, and instructions.
- Ensure that provider direct authorizations are accurate.
- Initiate new private referral forms and refer new intakes and potential clients to a nurse supervisor within an hour of intake.
- Schedule clients and employees and maintain notes in Generation’s software.
- Develop positive and ongoing relationships with field staff, clients, case managers, and co-workers.
- Respond to service inquiries within two hours of the intake with our ability to provide client services.
- Serve as liaison between the field staff, case managers, and clients.
- On-call weekend and evening rotation.
- Respond to sick calls and fill visits as needed and as required.
- Provide nurse supervisor with information about client and field staff problems and potential problems in writing on nursing issues form and verbally.
- Work with the nurse manager to ensure appropriate field staff are assigned to individual cases.
- Check contract needs for service and fill available cases with appropriate field staff.
- Develop ongoing relationships with assigned private clients and their family members, make initial calls to the family within 24 hours of client assignment, ensure coverage of service needs, and respond to any problems related to the scheduling of services.
- Provide follow-up conversations to ensure client and employee satisfaction.
Job Requirements / Experience:
- Customer service, coordination, and or scheduling of services.
- Computer skills, including the ability to use scheduling software.
- Demonstrated professionalism and organizational skills
