Position Summary
The Administrative Assistant is responsible for general administrative support serving as the first-person greeting clients and families at all center locations.
Essential Job Functions/Responsibilities
The essential functions include, but are not limited to the following:
- Greet clients and families
- Oversee reception area
- Ensure reception area is kept clean and organized
- Support arrivals and dismissals
- Track client attendance
- Facilitate smooth transition between daytime and afternoon services
- Handle incoming and outgoing calls in a courteous manner
- Communicate with staff relaying important information
- Monitor and maintain office equipment and center supplies; request repair or restock when necessary
- Manage online orders and recurring deliveries
- Sort and distribute mail and packages
- Basic accounting duties including maintenance of payables and receivables
- Provide general office support as assigned
Level of Responsibility
- Works under general supervision. Makes decisions within clearly prescribed areas referring matters that fall outside that area to others
- Receives client questions and responds within prescribed areas of knowledge
Supervisory Responsibilities
- This position does not supervise other employees
Qualifications (Education/Knowledge, Skills, and Abilities)
- Bachelor’s or Associate’s degree preferred
- Two (2) years experience working in an office environment; experience in child-centered or educational setting preferred
- Outgoing individual who is eager to work in a highly dynamic, energetic school setting
- Strong written and communication skills
- Proficient technology abilities
- Strong attention to detail
- Excellent interpersonal and organizational skills
- Comfortable working in a fast-paced environment
- Highly skilled in creating positive relationships with clients, parents, and clinicians
- Maintain confidentiality at all times

Physical Demands/Efforts
- Work performed is typically sedentary with occasional periods of walking and standing. May require stooping, kneeling and crouching and lifting objects weighing up to 40 pounds.
Mental & Visual Demands
- Work performed by this position requires moderate mental concentration to effectively execute moderately complex tasks
- Work occasionally requires some degree of visual effort for periods of time
Work Environment and Hazards
- Work environment is in a typical office setting free from noise and hazards
