We are currently recruiting for a full-time Front Office Coordinator to lead and manage our front office (40 hrs/week, Monday through Friday). This role will be responsible for facilitating all customer service, patient scheduling, transactions, and general business.
Position Summary
Manage Front Office:
- Ensure schedules are fully booked and we achieve productivity goals
- Provide exceptional customer service in person and on the phone to patients, families, staff, vendors and the community: greeting guests, observing front door/guest protocols, facilitating daily patient flow, procedures, etc
- Coordinate all patient communication via our software NetHealth
- Oversee the reception area to insure effective telephone and mail communications both internally and externally (i.e. responding to voicemails) to maintain professional image
- Manage check-in and registration process for all appointments including physician appointments and medical imaging.
- Own all scheduling and patient organization through Dentrix - patient bookings, patient files and agreements, patient communications with other offices. Maintain all patient charts and ledgers up to date
- File invoices, process payments, collect payments, insurance interactions (i.e. submitting claims)
- Delegate tasks to front office assistant as needed
Admin Tasks:
- Daily closing processes and SOP
- Coordinates the maintenance of office equipment
- Participates as needed in special projects
- Capacitate to understand basic dentistry and dental assistance as needed

- Bachelor’s Degree preferred
- 2+ years of customer experience
- Exceptional customer service skills; Strong written and verbal communication: understanding of what to say in specific conversations
- Thorough knowledge of modern office equipment, including multi-phone lines systems, fax, copiers, scanners, etc.;
- Proven ability to handle confidential information and work with minimal supervision;
- Proficient with MS Office Suite, including Word, Excel, and Outlook. Dentrix experience beneficial
- Ability to speak to patients with confidence and take feedback
- Comfortable working in a small-team environment
