Position/Ideal Candidate
Our legal assistant will likely be the first voice a potential client hears and the first face a potential client sees, so the ideal candidate has strong communication skills and a positive, can-do attitude. We are looking for someone who can help sell our firm to potential clients, provide excellent client service, anticipate our operational needs, draft accurate legal documents, and help manage law firm operations. We seek a team player willing to do tasks large and small: working with highly confidential and important documents for important clients and legal matters, or just getting coffee or ordering lunch to keep our team going!
Duties:
- Greets and directs callers by answering telephone calls from clients; determining nature and urgency of business, directing callers to appropriate destination, and performs intake of new clients;
- Welcomes visitors to the office by greeting them; answering and referring questions;
- Maintains attorney calendars and tasks, ensuring deadlines are met, and keeps operations on schedule;
- Drafts initial legal documents for estate plans, probate, or litigation cases,
- Completes special assignments such as organizing exhibits; stuffing and labeling envelopes; sorting, collating, and stapling material for internal and external distribution;
- Maintains a safe and clean office environment, ensures availability of supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; negotiating prices; verifying receipt of orders; stocking items;
- Maintains efficiency by installing toner in copy machines, calling for repairs, monitoring equipment;
- Manages incoming and outgoing mail;
- Gets coffee, manages break room supplies, removes trash, keeps break room clean and well stocked;
Skills/Qualifications:
- Proficiency in Microsoft Office application;
- Good oral and written communication skills, with an eye on accuracy;
- Good interpersonal skills and ability to work in a team environment;
- Maintains professionalism with clients;
- Ability to research procedural rules and judicial requirements;
- Ability to market and showcase the firm to new clients in an appropriate manner;
- Ability to Multi-task, manage calendars and scheduling, meet deadlines and
- Excellent Organizational skills.
The starting pay is $17 per hour with a 90-day probational period. After the 90-day probational period, the candidate will receive 5 paid holidays, 5 personal days, and 10 vacation days to be used over the next calendar year. The position includes semi-annual reviews, and excellent performance will be rewarded with additional salary increases. This is an excellent starting position for someone who wants to become a paralegal or case manager. We promote from within.
