We are on the hunt for a dynamic Office Services Administrator to be at the core of maintaining our workspace! Essential Functions
- Receive, sort, and distribute incoming mail. Preparing outgoing mail and packages, including coordinating with courier services.
- Restage conference rooms after meetings to ensure they are tidy and prepared for the next use.
- Regularly monitor refrigerator and pantry supplies, ensuring that refreshments and snacks are adequately stocked for employees and visitors.
- Take regular inventory of office supplies, replenishing items as needed while maintaining accurate records of inventory levels.
- Provide backup reception support during breaks or absences, while answering incoming calls, transferring to appropriate personnel, taking messages as needed, and offering general assistance.
- Welcome guests, sign in visitors, and direct them to the appropriate areas as needed.
- Efficiently complete business errands within designated timeframes, including visits to the post office, courier storefronts, and purchase necessary office or pantry supplies; regularly handle mailing packages and other postal services as needed.
- Monitor supplies to include paper supply for all copiers and printers.
- Must be present on-site, with the ability to move throughout the office, ensuring effective communication with tenants, staff, and visitors.
- Position may be required to perform duties outside their normal responsibilities as needed.
Qualifications
- High school diploma or equivalent; additional education or certifications are a plus.
- Prior experience in office administration or related roles preferred.
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in navigating computers to include Microsoft Office Suite.
- Ability to multitask and prioritize tasks effectively.
- Work authorization (required)
