Responsibilities:
- Provide administrative support to ensure efficient operation of the office
- Answer and direct phone calls, emails, and other correspondence
- Perform data entry, order entry, and maintain filing systems
- Schedule appointments and manage calendars
- Coordinate and schedule meetings, prepare meeting agendas, and take notes
- Prepare and edit documents, reports, and presentations
- Transcribe notes and audio recordings
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system for important documents
- Manage office supplies inventory and place orders as needed
- Handle sensitive information in a confidential manner
Requirements:
- Proven experience as an administrative assistant or relevant role
- Knowledge of office management systems and procedures
- Proficiency in MS Office (Word, Excel, PowerPoint)
- Excellent time management skills and ability to prioritize work
- Attention to detail and problem-solving skills
- Strong organizational skills with the ability to multi-task
- Excellent written and verbal communication skills
- Ability to work independently with minimal supervision
- High school diploma; additional qualification as an Administrative assistant or Secretary will be a plus
Note: Experience in project coordination, computer skills (including QuickBooks), receptionist duties, or office management in a construction office setting would be highly beneficial.
