Position Overview
The Facilities Program Manager will perform program administration by implementing, managing, and maintaining all systems and programs. This position will manage department standards by ensuring operations and procedures are created, organized, and managed appropriately. The Facilities Program Manager will supervise non-region based Facilities roles including but not limited to Facilities Project Coordinators and interns. This person will act as the subject matter expert for any questions or concerns regarding DB used software, cloud based platforms, and necessary applications. They will be able to address time-sensitive projects while promoting activities that enhance operational procedures to better support the Field.
Key Result Areas (KRAs)
Perform program administration by implementing, managing, and maintaining all systems and programs:
Manage system set up and maintenance of software, apps, and cloud based platforms implemented by the Facilities Department
Audit resources to issue invitations and adjust settings, permissions, and location controls for all Field based positions
Act as the Facilities Department subject matter expert for questions and problem resolution for the software, apps, and cloud based platforms used by the Facilities Department
Document, manage, and maintain resources for systems, apps, and cloud based platform controls to ensure that resources provided are translated appropriately and are easily digestible by all users in the Field
Coordinate shop asset surveys with Operators and third party surveyor
Audit equipment asset information for accuracy and work with users in the Field to resolve any discrepancies
Communicate any changes or updates to software, apps, and cloud based platforms that will impact the Field
Review and evolve software, apps, and cloud based platforms to take advantage of system upgrades and underutilized system features/enhancements
Work closely with the Field to constantly improve systems to better support and align with their needs
Manage department standards by ensuring operations and procedures are created, organized, and managed appropriately:
Establish a historical reference for the Facilities Department by outlining procedures for protection, retention, record disposal, retrieval, and staff transfers
Assist leadership with developing standards, processes, and procedures (i.e., Facilities Manuals, Checklists, etc.) and promoting activities that enhance operational procedures to better support the Field
Ensure that files and records are complete, maintained, and easily accessible
Identify concerns and resolve time-sensitive challenges that arise, through the use of creativity and innovation finding new solutions to complex issues
Identify budget concerns that may have an effect on the overall department budget.
Maximize department performance by identifying efficient work methods (productivity tools, performance challenges, etc.), creating tools to enhance performance (documents or spreadsheets), and creating efficiencies in software, apps, and cloud based platforms
Supervise non-region based Facilities roles including but not limited to Facilities Project Coordinators and interns:
Manage and/or assign coverage for roles during vacations, absence, or emergency situations that require immediate attention and response
Assist with the recruitment of Facilities Department personnel and provide
orientation and training to new employees
Ensure top performance of employees by providing adequate coaching, training, and guidance
Evaluate and manage employee performance on a regular cadence by conducting reviews per DB standard
Job Qualifications
Minimum of 2 years of experience in Facilities, required
Associates Degree or higher preferred, or 4 additional years of administrative experience, required
Knowledge of office management responsibilities, systems, and procedures
Demonstrated knowledge, expertise, and capabilities to guide Field based roles in their day-to-day duties
Working knowledge of Facilities, Service Models, and financial principles
Knowledge of accounting, data, and administrative management practices and procedures with an understanding of accounting software to support project billing
Location Requirement:
This position is required to be in Phoenix, Arizona, and required 4 days/week in office.
