The Medical Spa Coordinator performs a full spectrum of duties designed to provide medSPA by milk + honeys guests with a high-quality experience by displaying an in-depth knowledge of services and ensuring exceptional customer service.
The essential duties and responsibilities for the position of Medical Spa Coordinator include:

Provide superior customer service on a multi-line phone system, as well as email while encompassing milk + honey brand standards

Schedule medspa services for clients following strict m + h protocol, to maximize efficient use of time

Confirm all med spa online booking requests for accuracy

Be the expert for all medSPA services and provider specialties to determine each guests needs in order to make customized recommendations.
- Be the main point of contact for Reservations and Concierge medSPA specific inquiries

Maintain and improve medSPA 101 Playbook

Consultation Follow-up calls

Manage Vendor contact/relationships for local product representatives

Maintain Compliance binders for medical spa locations

Create scripts and protocols and train new employees on medspa services and scheduling procedures

Use operating systems effectively to make all aspects of the spa, salon, and medspa run efficiently

Educate clients on the reward points program, as well as vendor programs such as ALLE, ASPIRe, etc...
- Maintain an average ticket price that is appropriate for the Reservation Center and medspa department

Maintain a high Call Quality Evaluation score

Elevate the client experience by offering additional services, enhancements, and communicating brand promotions.
- Educate clients on the medspa skincare line and assist with retail sales
- Follow emergency protocols as needed

Complete side work and daily tasks/special projects as assigned or directed by managers

Have the desire and ability to exemplify milk + honeys 4 Principles in every interaction with clients and coworkers

Exhibit time management skills, have the ability to self-start, and excel in prioritizing tasks

Communicate with all co-workers to keep spa/salon running efficiently

Speak to tech support to troubleshoot problems with operating systems, printers, etc.

Attend all required meetings and trainings

Check email regularly, participate in discussions, and help to find solutions

Qualifications and Experience

Professional communication skills, both written and verbal
-
Must have schedule availability to include holidays

Must have a minimum of two years customer service experience, management experience a plus

Prior experience in retail, hospitality or salon/spa industry strongly preferred

Experience with salon/spa software and Google suite is preferred, though general computer knowledge is required

Natural ability to sell and educate clients on products and treatments
-
Ability to sustain minimal physical activity for the duration of a scheduled shift
-
Maintain home wifi of at least 25dl and 10ul speed
