Project Coordinator
We are seeking a Project Coordinator to join our growing Construction Services team. In this position, you will play a critical role in the success of our business by working with clients, tenants, and vendors. The Project coordinator will report to the Operations Manager.
The ideal candidate should have attention to detail, phone skills, and demonstrate the ability to work well in a fast-paced environment with fixed deadlines. Bi-lingual is a plus.
Tasks & Responsibilities
- Communicate with Project Managers and provide overview and visual on where projects stand.
- Delegate admin tasks to PAs and manage their work effectively.
- Identify potential conflicts and roadblocks and alert PM.
- Enter tasks into system software for the PM or others as needed when they are in the field or on the road.
- Ensure the team is aware of approaching due dates.
- Run Pre-Con calls for each project.
- Prepare GC-scopes for each project.
- Run daily call between PMs to review daily schedule and potential adjustments.
- Review schedule daily for efficiency opportunities and work with PM to implement and address conflicts.
- Put together change orders in full detail ready for review with OM.
- Submit Change Orders in Clients System.
- Schedule vendors as assigned and requested by PM.
- Onboard new vendors and ensure paperwork is in order.
- Address permitting needs as required.
- Review invoices from vendors and submit to A/P in a timely manner.
- Review weekly vendor payable report with PM and approve payments as needed.
- Communicate with peer client personnel.
- Ensuring client communication happens fast and efficiently. Responding quickly, within 4 hours.
- Develop deep relationships with client contacts and provide unwavering support.
- Review project expenses weekly to ensure the job is on budget and keep PM informed accordingly.
- Perform project close-out tasks per job.
- Direct all billing tasks to PA’s and manage them as required to ensure fast billing and payment.
- Ensure that Bookkeeping has the proper approval and change order documentation for each project.
- Monitor all communication channels and document/address all needs as needed.
- Closely manage projects in system to ensure 100% accuracy.

- Team player, with a strong sense of ethics and fairness to all parties
- Strong organizational and planning capabilities, and proactive management skills
Technical Skills
- General understanding of home repair
- Operating knowledge of standard computer systems and ability to adapt to new software
- Familiar with Microsoft Excel, Word, and Outlook
