Essential Functions of the Human Resources Administrative Assistant:

Organizing and maintaining employee records (electronic and paper).

Updating Human Resource databases and folders (ie., HR submissions, Intranet) and Human Capital Management (HCM) system with employee documents and necessary forms.

Preparing and disseminating HR documents and notifications such as offer letters, outstanding employee documents, meeting agendas, minutes, off-duty letters, and other employee-related communications.

Gather documents for monthly HR and program-related employee audits.

Assist the VP of HR with department-related meetings, trainings, and special projects.
Minimum Qualifications

High school diploma or equivalent and have at least two years of solid experience in an administrative assistant or coordinator role supporting a department, function, or other individuals or equal combination of experience and education.

Computer literacy (MS Office applications or Google – email, Word, Excel, and PowerPoint,).

Excellent organizational skills, with an ability to prioritize important projects.

Strong communication skills – both written and verbal.
Preferred Qualifications
- Associate’s Degree in an HR-related field and 1 to 2 years of HR-related/admin experience.

HR certifications (SHRM-CP or PHR).
Physical Requirements:
- While performing the duties of this job, the employee is regularly required to talk or hear.

The employee is required to stand; walk/ambulate; use a keyboard to type and reach with hands and arms/appendages and sit for prolonged periods of time at a desk, working on a computer.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

This position requires the ability to occasionally lift office products and supplies, up to 20 lbs.

Ability to navigate stairs on occasion – not all locations are ADA-compliant.

The position requires travel up to 10% of the time to different offices and agency-related events.
