The Opportunity
We are seeking an Office Services Coordinator to join our Firm. This position will be based in our Houston office (onsite role). The Office Services Coordinator coordinates and performs general office services requests and duties, including document reprographics, mailroom services, facilities maintenance and repairs.

Maintains effective working relationships with clients, attorneys and staff.

Coordinates facilities maintenance and repairs with sub-contractors, vendors and building management.

Establishes and maintains relationships with other departments in the local office and across the Firm.

Liaises with Office Services/Facilities/Mailroom/Reprographics department leadership in other offices to ensure consistency and compliance with Firm best practices and procedures.

Maintains inventory of and orders office supplies.
-
Reviews and approves in house charges and invoices for maintenance, repairs and supplies.
-
Receives and distributes internal and external mail.
-
Prepares outgoing mail for distribution.
-
Distributes incoming faxes and sends outgoing faxes.

Maintains a neat and orderly Copy Center area.

Conducts research and recommends selection of products needed to support department.

Investigates and troubleshoots problems utilizing vendors where appropriate.

Maintains office storage areas.

Ensures current knowledge of firm policies and practices for staff, current knowledge of industry trends, and continued professional development for staff.

Utilizes scanning hardware to scan documents to PDF or word processing files.
-
Provides Records backup as necessary.
-
Assists with document reproduction and finishing.

Troubleshoots with copiers and fax machines.
-
Coordinates repairs or service, when required, for copiers and fax machines and mail room equipment.

Maintains an inventory of printer, fax, copier and mailroom supplies.

Trains new employees and provides guidance to users of copiers, fax machines and mail room equipment.

Regular and reliable physical presence in the office to provide assistance to local personnel, interact with vendors in person, and use on-site equipment.

Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.

Manages Firm resources responsibly.

Complies with and understands Firm operation, policies and procedures.

Performs other related duties as assigned.
Qualifications

Knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems

Ability to exert moderate to high physical effort

Ability to handle multiple projects and shifting priorities

Ability to lift, carry or otherwise move and position objects weighing up to 50 pounds

Ability to climb a step ladder and reach overhead to place and remove objects from above

Ability to sit or stand at work station for extended periods of time

Ability to read, interpret and follow instructions

Ability to handle sensitive matters and maintain confidentiality

Ability to deal courteously/effectively with others

Experience/Education

High school diploma or equivalent
