Job Summary:
GreenWater Laboratories is seeking a detail oriented and professional candidate to join our growing team as a laboratory receptionist/intake specialist. This position plays a crucial role in handling client relations, managing sample intake through a LIMS, and completing various administrative tasks. As most of GreenWater's business occurs via email, phone, and package receipt (samples), this role is vital to facilitating the work of the remaining laboratory staff. Therefore, attention to detail, effective teamwork, and a willingness to learn/adapt are vital to success in this position. Candidates with experience in laboratory intake and/or computer-based data management systems (LIMS) are preferred.
Responsibilities:
- Accurately log in samples received from clients using a LIMS
- Greet customers and vendors in a professional and friendly manner
- Answer and direct phone calls using a multi-line phone system
- Provide administrative support to various departments
- Coordinate shipment of sample kits to clients
- Perform data entry and maintain electronic and physical filing systems
- Assist with office management tasks such as ordering supplies and coordinating maintenance requests
- Handle incoming and outgoing mail, including sorting, distributing, and preparing packages for shipment
- Serve as a personal assistant to executives as needed
Qualifications:
- Associates degree or equivalent is required. Four-year degree (BA/BS) is preferred.
- Proficiency in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational skills with the ability to prioritize tasks and manage time effectively
- Excellent verbal and written communication skills
- Attention to detail and accuracy in data entry and record keeping
- Ability to handle confidential information with discretion
- Customer service-oriented mindset with the ability to handle inquiries or complaints professionally
