Assistant Property Manager
Office location is River Park Lofts in Watertown, Ma. Properties this position is responsible for are located in Cambridge and Boston.
Position Summary
The Assistant Property Manager is responsible for providing tenant relations and
administrative assistance to the Property Manager for the residential tenants at 2 properties in our portfolio. Ideal candidate should be able to prioritize and make sound decisions as well as being able to multi-task. This position requires travel to both properties to meet tenants for move in/move out needs, as well as other duties dictated by the Property Manager. From time to time additional hours will be expected during busy season to include nights and weekends. Must have valid drivers license as well as reliable transportation.
Essential Duties and Responsibilities
Accounting
- Maintain accurate resident records: on a daily basis updates all rent checks, deposits and application fees received from residents. As well as issue appropriate notices when necessary, such as: late payments, eviction notices, returned check memos, etc.
- Collect and deposit laundry coins monthly.
- Preparing and processing detailed account statements and charge back invoices for tenants.
- Responsibility to maintain accurate records for all transactions (i.e. rent rolls, delinquency reports, etc.).
- Perform other related duties as assigned.
Administrative
- Assist Property Manager in maintaining efficient tenant relations and ensuring tenant satisfaction but dealing with all concerns and request on a timely basis.
- Answers and handles incoming office calls from prospective new residents, current residents, vendors/suppliers, etc.
- Organizes and files all applicable inspection/work orders/work acknowledgement reports, leases and paperwork.
- Confirm all leases and corresponding paperwork are completed and input into property management software accurately and on a timely basis.
- Ensure current resident/commercial tenant files are properly maintained.
- Ensure distribution of all company or community-issued notices (i.e. bad weather, emergency, etc.)
- Perform other related duties as assigned.
Leasing
- Process tenant applications to ensure all required resident paperwork is completed such as: background and reference checks.
- Maintain key fob access and parking space assignments.
- Assist to ensure quality and quantity of market ready apartments.
- Assist to ensure property appearance and ensure repairs are noted and completed on a timely basis.
- Develop and/or implement resident retention programs (i.e. resident functions, special promotions, monthly newsletters, etc.).
- Assist new & renewal lease process and ensure all leases are up-to-date.
- Perform other related duties as assigned.
Maintenance
- Assist vendor/contractor communications concerning scheduling, and vendor relations.
- Assist/Coordinating maintenance schedule and assignments with on-site building superintendents to ensure that they work toward meeting property goals and operate within established policies and procedures.
- Accepting service request/work orders for all tenants and directing them to maintenance for prompt processing. As well as conducting follow-ups with both tenant and maintenance to ensure work is completed & recorded properly.
- Coordinating with maintenance to ensure units are prepared and ready for move-in & move-out.
- Ensure that models and market ready apartments are walked and communicate any service-related needs to maintenance.
- Ensure that unsafe conditions are corrected in a timely manner.
- Perform other related duties as assigned.
Minimum Qualifications (Knowledge, Skills and Abilities)
- At least 5 years of experience in a customer service role. Real Estate or hospitality background preferred.
- Must be able to work well in a fast paced environment, be self motivated and have a sense of urgency.
- Sufficient knowledge and ability to utilize the following software: Microsoft Office, Word, Excel, Outlook, PowerPoint.
- Ability to effectively listen and respond to internal and external requests and/or concerns.
- Must possess the following strengths: high energy, organized, entrepreneurial spirit, motivational, proven, effective communicator, effective in providing exceptional customer service
- Clear, concise written and verbal communication skills in English
Education Requirements
- High School Diploma or equivalent required. College degree in Business or a related field is preferred
