Job Description: Receptionist/Executive Assistant
Position Overview: We are seeking a highly organized and efficient individual to fulfill the dual role of Receptionist and Executive Assistant. The successful candidate will be the first point of contact for clients, visitors, and employees, while also providing administrative support to senior executives. This role requires excellent communication skills, a proactive approach to problem-solving, and the ability to manage multiple tasks simultaneously while being able to prioritize urgent and important tasks from routine daily job duties.
Responsibilities:
Receptionist Duties:
- Greet and welcome visitors in a professional and friendly manner.
- Answer and direct occasional phone calls promptly and courteously.
- Manage incoming and outgoing mail and packages.
- Maintain a tidy and organized reception area and breakroom.
- Provide administrative support to senior executives, including preparing legal contractual documents and routing documents for signature.
- Preparation of Warranty Books for completed construction projects.
- Coordinate and maintain records of temporary and permanent utilities for projects under construction.
- Assist with the preparation and editing of presentations, reports, and correspondence.
- Handle confidential information with discretion and professionalism.
- Assist with ad-hoc projects.
Qualifications:
- Excellent verbal and written communication skills.
- Friendly and approachable demeanor.
- Strong organizational and time-management abilities.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook).
- Ability to multitask and prioritize tasks effectively.
- Previous experience in an administrative role, preferably supporting executives.
- High level of attention to detail and accuracy.
- Ability to maintain confidentiality and exercise sound judgment.
- Strong problem-solving skills and resourcefulness.
- Proficiency in office productivity tools and software.
- Flexibility to adapt to changing priorities and deadlines.
Education and Experience:
- High school diploma or equivalent required; bachelor’s degree preferred.
- Prior experience in as an administrative role is desirable.
- Experience supporting senior executives is a plus.
Working Conditions:
- This position is based in an office environment.
- Regular working hours are 8am to 5pm.
