Job Summary:
Coordinate, plan and assist in managing engineering and maintenance programs for a diverse real estate portfolio, including commercial office, retail & mixed-use spaces. Establish and maintain positive tenant relations and satisfaction through the delivery of “Best in Class” customer service.
Key Responsibilities:
- Maintain documentation for fire life safety records, asset management and preventative maintenance programs, related to but not limited to plumbing, electrical, HVAC, and controls systems.
- Ensure compliance with all City, State and Federal safety and environmental laws, codes, standards, and regulations. Maintain and update required OSHA training materials and workers compensation safety and accident reports on engineering personnel and facilities.
- Coordinate with accounting and property management team to ensure compliance with billable internal labor regarding company policies & procedures.
- Communicate with general contractor, in alignment with project management timelines, to verify close-out and as-built documents are being provided and turned over according to project deadlines.
- Read and interpret architectural and engineering drawings with a reasonable and basic understanding of commercial building MEP systems.
- Review, resolve and assign tenant service requests in property management system (CMMS)
- Support new and incoming initiatives from property management and engineering management.
- Initiate and draft reporting and budgeting documents, including but not be limited to creating RFP’s and setting up vendor contracts.
- Review and process purchase orders, invoices, and proposals
- Develop and manage functional system to track manufacturer and vendor warranty information for minor and major capital projects.
- Schedule maintenance and repairs with tenants that may require impact to their leased space, work could include emergency system testing, electrical or HVAC related outages.
- Update, process, and review utility accounts for all properties. This includes managing the 3rd party meter reading company for all monthly tenant utility billbacks.
- Manage communication of daily tenant service work orders, ensuring a timely response.
- Dispatch technicians and/or contractors to perform repairs and maintenance and communicate updates to property management.
- Procure and purchase parts and supplies to support engineering technicians according to the company policy and approved budget guidelines.
- Initiate documentation for correspondence to tenants, clients and contractors including contracts, transmittal letters, general correspondence, mailings, and notifications.
- Maintain and update electronic and hard copy filing systems for vendors, tenants, and staff as appropriate.
- Support and coordinate contract administration responsibilities as assigned for events, vendors, parking, etc.
- Primary lead in supporting technology/PC maintenance and integration.
- Maintain and update tenant Emergency Team Leader files and Emergency evacuation correspondence.
- Manage Tenant and Client events and activities.
Required Knowledge, Skills and Abilities:
- Bachelor’s Degree in business management, engineering, or related field.
- Equivalent work experience may be considered in lieu of a bachelor’s degree.
- Minimum 2 years of experience in facility or property management related field.
- Demonstrate good interpersonal and communication skills; ability to interface with tenants, management, and clients at all levels.
- Possess initiative and desire to assume additional responsibilities.
- Demonstrate innovation with new ideas and procedures.
- Able to operate personal computer, Microsoft office and Teams.
- Demonstrate effective time management skills with the ability to prioritize work appropriately.
- Maintain the highest-level confidentiality according to company policy and procedures.
- Demonstrate a positive attitude and ability to multitask.
- Ability to communicate in a proactive manner, working successfully in a team environment.
Working Conditions:
- Must be available to work on-site and outside of regular business hours when necessary.
- Works in an open area where there are frequent interruptions and distractions due to noise, traffic, etc.
- May be required to travel on occasion.
- Ability to lift and or move up to 25 pounds.
- Frequent visual/auditory attention.
- Ability to visit and inspect active construction sites and adhere to proper PPE requirements.
