We are seeking full-time Executive Office Coordinator and Support Associate.
This person will be responsible for supporting operational and administrative functions for the senior administration team including and not limited to the, Business Director, Director of Admissions & Recruitment, and Head of the School.
The ideal candidate will be a highly organized individual with strong communication skills and the ability to multitask in a dynamic environment.
Responsibilities:
- Manage administration of the Drivers Education program. Set up new courses in the registration platform, generate weekly (+ad-hoc) registration reports, assist families with refund requests and any other questions regarding registration.
- Oversee the registration of the school lunch program. Act as the primary communications lead and contact for parents and the food service vendor. Send out lunch emails to families and answer any questions about lunch orders. Assist parents in facilitating and entering any lunch orders in the system as needed.
- Set up online registration for school events. Review and audit registrations to ensure any outstanding payments by check are tracked and updated. Provide ad-hoc reports to school administration when requested.
- Support the Business Director with any enrollment functions, assist in generating and processing invoices.
- Maintain confidentiality and handling sensitive information with discretion.
- Assist the Director of Admissions & Recruitment in administering the centralized tracking sheet for new student inquiries and new applications. Follow-up with families to help with scheduling school tours.
- Support the Head of the School with recruiting efforts. Assist with creating job descriptions, posting the jobs online, collecting resumes and sharing them with the Head of the School. Follow-up with approved candidates to schedule interviews as needed.
- Help organize correspondence with vendors for any new programs for the school (e.g., after school programs).
- Act as the subject matter expert for Microsoft Excel/Word and Google Sheets/Doc to assist the Executive Administrative team with any Microsoft Excel/Word or Google Sheets/Doc support as needed.
- Maintain organized records and files, both electronic and physical.
Requirements:

- Bachelor’s in business administration or a related field.
- Minimum of 4 years experience in business administration, or executive administrative assistant role.
· Advanced proficiency in Microsoft/Google Office suite knowledge.
· Demonstrate strong written and verbal communication skills. Proficiency in drafting emails, reports and other documents.
- Interpersonal skills. Ability to interact and maintain positive relationships with the executive leadership team, board members, and families.
- Strong organizational skills. Able to handle multiple responsibilities independently. Be open to change and shift priorities as needed.
- Detail-oriented, resilient, flexible, and learns quickly (e.g., ability to adapt to new software and technologies.
- Pro-active, motivated, self-starter. Continually seek opportunities for improvement.
- Team collaboration. Work as a team with school staff to help meet school goals and objectives.
