Job Summary: We are seeking an organized and friendly Office Administrator to manage front desk operations and administrative tasks. This role involves overseeing phone and email communications, visitor reception, and event coordination. You will also handle our Freshdesk ticketing system, ensuring prompt and courteous responses to participant inquiries, as well as scanning and distributing physical mail, and assisting HR and accounting with various administrative duties.
Key Responsibilities:

Front Desk Management

Greet visitors and clients warmly, providing a friendly and professional presence.

Answer and manage phone calls efficiently, ensuring high call coverage.

Monitor and respond to emails promptly, organizing and archiving communications.

Administrative Support

Coordinate office events and morale-boosting activities.

Inventory and replenish office supplies, drinks, and snacks.

Scan and distribute physical mail efficiently to ensure timely communication.

Assist other departments with administrative tasks such as onboarding, maintaining records, and coordinating meetings.

Responsible for filing, data entry, and organizing financial documents.

Freshdesk Ticketing System

Manage participant inquiries through the Freshdesk system.

Ensure timely responses and resolutions to maintain participant satisfaction.

Office and Facilities Support

Maintain, clean, and organize common areas for staff and clients.

Schedule and supervise maintenance and repairs, ensuring timely and effective completion.

Conduct regular inspections to ensure facility standards are met and identify areas of improvement.
Qualifications:

Proven experience as an Office Administrator, Front Desk Coordinator, or similar role.

Excellent customer service and communication skills.

Strong organizational abilities and attention to detail.

Proficiency in Microsoft Office and familiarity with ticketing systems like Freshdesk is a plus.
