As front desk office Receptionist, you will be the first point of contact for our company. Our Receptionist’s duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. Have a pleasant personality, as this is also a customer service role. You should also be able to handle multiple tasks effectively simultaneously while streamlining office operations. Multitasking is essential for this position.
Ultimately, the Receptionist’s duties and responsibilities are to ensure that the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.
Duties/Responsibilities:
- Receiving visitors at the front desk by greeting, welcoming, directing, and announcing them appropriately.
- Secure visitor and consumer signatures according to the nature of the visit to the building, i.e. Group, Nurse Practitioner visit, Therapists, etc.
- Direct consumers and visitors to the appropriate person and/or office.
- Turn on TV monitors upon arrival to the building to ensure running daily, turn them off at the end of day before departure.
- Efficiently answering screening and forwarding incoming phone calls
- Receiving and sorting daily mail/deliveries/faxes.
- Ensure the reception area is tidy and presentable at all times, equipped with all necessary stationery, note pads, post, and materials needed to assist anyone entering the building or calling the office (e.g. pens, forms, and brochures)
- Provide basic and accurate information in person and via phone/email.
- Order front office supplies and keep an inventory of stock.
- Ensuring that the copiers and telephones are running appropriately along with reporting when necessary to the appropriate contacts if a malfunction should occur.
- Check the fax machine regularly throughout the day, securing faxes and forwarding them to the appropriate person or department.
- Answer faxes that “reference medical records request’ by accessing Penelope, printing requested documents, logging in the information of the requestor information (name, address, phone#), the day’s date, and stating whether mailed or not, and date mailed out.
- Ensure all copiers have an adequate paper supply, completing the faxing/scanning for all staff members.
- Assist with copies ad faxes that off-site staff or consumers may need.

Pay: $17.00 - $20.00 per hour
