Primary Roles and Responsibilities
1. Develop and maintain an effective training program for all new hires and/or newly transitioned employees to branch Office Administrators (OA).
2. Develop training courses and materials to be used in training sessions.
3. Assess participants learning performance; identities need for additional, specialized, or adaptive instruction.
4. Travel to branches to facilitate in person training of new branch OA.
5. Conduct follow-up training sessions with existing OAs when changes are introduced.
6. Act as the primary resource to assist OAs with questions and issues.
7. Maintains current knowledge of changes to the OA duties and responsibilities, by working with other departments to ensure accurate operating procedures.
8. Maintain ability to perform all OA duties.
a. Finance/Accounts Receivable/Accounts Payable duties
i. Contact homeowners to ensure payments are made in a timely manner and remind them of outstanding balances.
ii. Facilitate the payment process for homeowners.
iii. Manage payments made by check and make weekly bank deposits.
iv. Submit pay for subcontractor and sales representatives.
b. Production duties
i. Track the progress of each job in the CRM system, and keep Sales Managers informed of each status.
ii. Assist with ordering materials for each job.
iii. Generate work orders for each job.
c. Contract Entry duties
i. Upload completed contract packets into CRM system.
ii. Monitor job workflow in the company CRM system.
d. Human Resources duties
i. Manage the onboarding process of new employees.
1. Create onboarding profile and paperwork as needed.
2. Collect and verify proper identification to complete and approve the I9 process.
3. Follow up with issues in the onboarding process.
4. Provide assistance for new employees to access operating systems.
ii. Manage the offboarding process for exiting employees.
1. Complete the proper steps to remove employees’ access to system.
2. Record accurate reason and date of termination.
3. Complete termination paperwork to be sent to the employee.
iii. In a timely manner process time cards to payroll.
e. Office duties
i. Answer office phone and direct calls.
ii. Provide basic office administration duties.
9. Performs other related duties as assigned.
Necessary Experience and Skill Set
● Outstanding written and verbal communication skills, including proper pronunciation, grammar, and a consistently courteous and professional tone of voice at all times.
● Excellent organization and planning capabilities, strong attention to detail.
● Very self-motivated and goal-oriented with the ability to multitask.
● Excellent time management skills with a proven ability to meet deadlines.
● Ability to function well in a fast-paced, team-oriented environment.
● Experience in the customer service industry environment is a plus.
● Ability to successfully complete a background check subject to applicable law.
● Proficient with basic computer functions such as email and data entry programs.
● Ability to travel regularly.
Formal Education/Training
● High school diploma/GED required.
● Associates or Bachelors’ degree preferred.
● Experience with creating and facilitating training programs required.
● Experience utilizing a LMS (Learning Management System).
● At least 1 year in a training role is preferred.
Physical and Work Environment Requirements
● Ability to operate a computer for extended periods of time
● Prolonged periods sitting at a desk when not facilitating training.
● Extended periods of standing and running a classroom when training.
● Ability to lift up to 15 pounds at times.
Normal Working Hours, Additional Working Hours and Travel Requirements
This is a full-time position working 8:00 a.m.–5:00 p.m., Monday through Friday. This position may require longer hours, and some flexibility in hours may be needed depending upon the business needs. This position will be required to travel to all branches in the United States depending upon the business need. Travel accommodations will be provided when necessary.
Job Type: Full-time
Pay: $45,000.00 - $55,000.00 per year
