This position is responsible for assisting both the sales department and operations team for our four Chicagoland properties; Level Old Town, Level River North, Level Fulton Market, and The Emily Hotel. Level offers 190 fully furnished luxury suites ranging from studios to penthouses. The Emily Hotel offers 159 modern rooms and suites.

What Will You Do?
- Managing room assignments, monitoring room availability, and assigning rooms according to guest requests and preferences.
- Setting up and processing check-ins and check-outs, confirming reservations and cancellations, and performing duplicate reservation checks
- Reviewing out-of-order rooms and inspections daily working with the engineering and housekeeping teams.
- Securing billing, valid payment and verifying and adjusting billing for guests.
- Qualify and respond to incoming sales leads, calls, and emails. Responding or forwarding to the appropriate sales team member with accuracy in a timely and in a professional manner.
- Support Sales Team in booking reservations - tasks may include Extended Stay/ Corporate Housing bookings, VIP reservations, rooming lists and/or group block changes, specialty suite bookings, etc.
- Support Sales Team in the execution of contracts, leases and other client agreements as assigned.
- Prepare sales proposals incorporating clearly defined terms and conditions.
- Organize and track sales activities to maximize results in ZOHO (CRM tool).
- Maintains an accurate inventory of sales collateral and promotional materials.
- Will coordinate communication with other departments as requested by both the sales and operations team.
- Support internal meeting preparation, creative projects, site inspections, VIP stays, amenity program, trade shows, travel fairs, and special event invitations, etc.
- Daily communication and coordination with other departments. Key departmental contacts include all hotel departments, and the Residential Team.
- Adhere to established goals and objectives, reporting guidelines consistently, completing all projects assigned in an accurate and thorough manner.
- Assist potential clients by giving tours and gathering information as needed.
- Manage confidential information with discretion and respect of privacy to high profile guests.
- Promote awareness of brand image internally and externally.
- This position may also perform duties assigned by the Director of Sales, Sales Manager and General Manager.
What You Bring:
- Minimum one-year front desk supervisory/management experience required.
- Minimum of 1-year sales/administrative or coordinator experience required, preferably in a hotel capacity.
- Previous experience in a hotel or restaurant customer service role preferred.
- Must be able to work independently and simultaneously manage multiple tasks.
- Must be able to communicate information and ideas clearly. Able to work in a fast-paced environment and be able to handle everyday situations quickly and effectively.
- Strong analytical, organizational, and interpersonal skills.
- Ability to perform assigned duties with attention to detail, speed, accuracy, follow-through, courtesy, cooperativeness, and work with minimal supervision.
- Commitment to exceeding guest/client expectations.
- Proficient knowledge of computer applications. Microsoft Office Tools: Outlook, Teams, PowerPoint, Excel, and Word. HMS(PMS) a plus.
- Evenings and/or holidays may be required as business needs warrant.
