We are seeking a full time assistant manager for an apartment community located in Milford.
Scope and Purpose
To be responsible, under the direction of the property manager and/or Regional Property Manager for the administration of the site in accordance with Continental Management policy and procedures and to keep the regional office fully informed of the site's status. The Assistant Manager shall work closely with and be responsive to the Maintenance Supervisor, site staff, as well as other central office managers and staff.
Additionally, it is the responsibility of the Assistant Manager to perform all duties in full compliance with Fair Housing and Equal Opportunity regulations as well as with Continental Management’s Fair Housing personnel policy.
Duties and Responsibilities
The Assistant Manager is directly responsible for the following:
1. Timely, accurate processing of Accounts Payable operations.
2. Timely, accurate processing of Accounts Receivable operations.
3. General office administration.
4. Specific site administration.
5. Tenant/landlord relations.
6. Processing Applications
7. Must have a valid Driver’s License at all times.
Tasks:
The tasks in the assistant manager’s area of responsibility include, but are not limited to, the following:
Accounts Payable:
1. Establish and maintain good vendor relations and accounts in cooperation with the maintenance supervisor.
2. Process vendor invoices for timely payment according to Continental Management operational procedures including petty cash, postage, and expense reimbursement with office manager as vendor.
3. Maintain up-to-date vendor files on site.
4. Maintain accurate petty cash accounting system and funds according to Continental Management’s operational procedures.
Accounts Receivable:
1. Collect cash receipts (check/money orders only) and maintain accurate up-to-date cash receipts postings at the site.
2. Process regular, timely deposits by submitting them to the bank in accordance with Continental Management’s operational procedures.
3. Process accurate, timely security deposits in accordance to Continental Management’s operational procedures.
4. Process accurate, timely move-in/move-out information through the OneSite System following Continental Management’s operational procedures.
5. Assure accurate tenant billing in the OneSite System through accurate, timely processing of recurrent and non-recurrent charges and appropriate adjustments according to Continental Management’s operational procedures.
6. Review and confirm accuracy or adjust for accuracy, all OneSite reports including: Delinquency reports, Security Listings, Tenant Charge Listings, and Rent Rolls.
7. Maintain accurate tenant arrears records and pursue collection according to Continental Management’s operational procedures.
General Office Administration:
1. Establish and maintain good answering service relations and systems for exchange of information and keep answering service up-to-date on calling sequence and accurate names and numbers.
2. Maintain current, accurate tenant data, including tenant/apartment listings and tenant emergency information.
3. Maintain accurate, up-to-date status accounting of rental units, including rental board and/or occupancy status report as directed by the Property Manager.
4. Maintain accurate, efficient files for all site administration, including: tenant files, applicant files, vendor files, operational /procedures files, work-order files, newsletter files, A/R files, etc. as directed and working with the superintendent where appropriate.
5. Prepare and process appropriate written communication, i.e., memos, letters, reports, insurance incident reports and notification, etc.
Specific Site Administration:
1. Administer the site’s compliance program (where applicable) efficiently and accurately according to the program’s regulations and Continental Management’s operational procedures.
2. Process all applicants and diligently screen applicants according to program regulations, Continental Management’s operational procedures and Fair Housing regulations.
3. Prepare and maintain the appropriate forms and certifications for the site’s regulatory program and prepare and maintain appropriate leases, lease renewals, and/or lease addenda, according to Continental Management’s operational procedures and program requirements.
4. Administer the site’s regulatory program if applicable, in timely, efficient manner.
5. Prepare, process, and maintain files of all necessary communications.
6. Conduct and document the move-in inspections (and new tenant orientation) and annual inspections as necessary.
7. Maintain complete documentation regarding incidents reported by police and tenants, etc.
Tenant Relation Tasks:
1. Handle all resident complaints expeditiously, diplomatically, and professionally.
2. Maintain work-order records and communication with the supervisor on work-order status in order to respond to tenant inquiries regarding work-order status.
3. Enforce the rules and regulations of the site and appropriate regulatory programs and maintain written documentation of all significant violations and their resolutions.
Marketing and Leasing Tasks:
1. Ensure understanding of and adherence to all EEO and Affirmative Action Updates which includes Fair Housing/Equal Housing. Report all requests for reasonable accommodations to the Property Manager/Regional Property Manager.
2. Share leasing responsibilities with the leasing consultant by showing apartments when necessary and in accordance with Continental Management policy and procedure paying special attention to FH laws.
3. Process all applications in accordance with company policy and procedure and in accordance with specific site program guidelines.
4. Always inquire as to the reasons why residents are giving notice to vacate and see if we can overcome their objections or reasons. Keep the Property Manager aware of your findings and work in concert with your Property Manager to reduce costly turnover.
5. Provide rental office coverage when traffic could reasonably be expected, even on holidays, i.e. Columbus Day, President’s Day, Martin Luther King Day, etc.
6. Participate in planned community activities and leasing efforts.
Complete various other tasks as directed by Supervisor. I have reviewed this job description in its entirety with the Property Manager and/or Regional Property Manager.
Skills/Qualifications:
Minimum one year experience in property management industry required. Also, must understand the tax credit process and demonstrate skill in: marketing and leasing, budgets, strategic planning, verbal and written communication, safety management, leadership and interpersonal communication, conflict resolution, and facilities management systems.
All candidates must have a valid driver’s license and own transportation.
