Job Description
I. The position is responsible for training, assessing and monitoring the staff regarding:
- Patient scheduling
- Verifying eligibility for patients
- Obtaining authorization for office visits and procedures as deemed necessary (based on payer)
- Check-in and check-out activities
- Collection of patient insurance and co-pay amounts at time of service while maintaining a high degree of patient satisfaction
- Patient recall protocols
II. The position is responsible for identifying , documenting and solving:
- Causes contributing to patient no-shows and reasons for patients not scheduling follow-up visits
- Inaccurate patient demographic and insurance information
- Excessive patient wait time
- Identifying production, collection, and profitability areas of concern. Office manager is to work directly with their Direct Supervisor to identify ways to improve the above concerns on a biweekly basis. Office Manager is responsible for enforcing measures identified and discussed with their Direct Supervisor
III. The position is responsible for various Human Resources functions including:
- Performance reviews of staff
- Assessment of clinic wide staffing scheduling and needs, disbursements of workloads, and long-term needs. Office Manager will work with Clinical Lead to review clinical staff needs related to the above.
- Developing, implementing, and managing (with the aid of ADP and Direct Supervisor) efficient and effective processes for:
- Personnel Management (new hire training manuals, new hire orientation procedures, and termination procedures)
- Payroll Management (pay rate changes, overtime, vacation time, timekeeping procedures)
IV. The position is responsible for process improvement and redesign, including:
1. Assessment of current marketing and advertising campaigns, with a focus on identifying the most effective method of advertising, marketing, and patient retention. Office Manager will work with their Direct Supervisor and marketing team to review needs on a regular basis.
- Continual assessment and improvement of all reports, letters, and forms currently used, with a focus on uniformity practice wide
- Assessment of authorization and eligibility processes, and the impact upon reimbursements
- Participating in regularly scheduled meetings with other office and division managers with a focus on improving interdepartmental workflow, discussion of current challenges and exchange of ideas for improvements.
V.
- Scheduled office visits per provider/appointment type (shot clinic)
- No-show and cancelled appointments by provider/appointment type
- Total patient co – pay % collected at the Front Desk, as well as daily submission of journal closing
- Monitoring tasks and voicemails of all employees assigned to ensure completion in a timely manner (24 hours)
- Number of new patients seen per provider/appt type
- Number of patient recalls sent, along with the type of response received
- Daily and weekly provider production reports compared to agreed-upon budgets
- Daily and weekly reconciliations for billable purchases (ie, allergy shots, biologics, etc) (ie, reconcile that all purchase were properly billed, and reimbursement is sufficient
- Ensuring all patient emails are obtained and that portal access is granted or denied for each patient.
Job Type: Full-time
Pay: $52,000.00 - $72,000.00 per year

Experience:
