The Document Control Team Lead’s primary role is to implement and administer company-wide document management systems and related procedures that allow organizations to track, capture, store, retrieve, share, and deploy electronic records and documents. Additionally, they will evaluate documents via specific drawback criteria which is learned during initial training protocol. The DCTL will design, plan, implement, and execute documentation infrastructure and provide the team with necessary information to ensure standard processes are followed.
The role will be responsible for:
· Develop and implement team policies, procedures, and standard practices.
· Communicate needs, concerns, and strategies to management, advocating for the team.
· (Hands-on) Supervision of a team responsible for:
o Managing various file receiving services and methods such as FTP, SFTP, and SSH.
o Coordinating with clients/suppliers to meet document collection quality standards and timelines.
o Publishing reporting and log summaries for stakeholder to identify document retention gaps.
o Evaluating documents to ensure they meet regulatory standards.
o Participating in audits for client accounts related to document management & retention.
o Reviewing and validating data from data entry team
· Manage projects with data entry team
o Communicate and manage data and document projects related to data entry.
Education and Experience:
· Leadership experience a plus
· Knowledge of import/export documents and processes
· 1-year minimum experience with freight forwarding documents and processes
· 2-3 years’ experience as a document control specialist or similar role.
· Advanced working knowledge of Microsoft Excel and other Microsoft Suite products.
· Strong analytical and problem-solving skills.
· Strong written, verbal, and interpersonal communication skills.
· Ability to communicate fluently in English.
· Organized and able to manage multiple activities timely and with a high degree of accuracy.
· Self-starter with the ability to work strategically under little direction.
· Able to prioritize and execute tasks in a high-pressure environment.
· Strong attention to detail.
· Possess superior interpersonal skills
· Knowledge of shipping documents is a plus.
