Our company is best described as High-End Luxury Retail General Contractor. Founded in 2000 we have accumulated a prestigious portfolio of high-end luxury retailer construction projects nationwide. We are growing and seeking an experienced Project Administrator.
Position Summary:
Assist project management to record and manage all the contractual and accounting activities involved in assuring project accuracy and quality from conception to completion. Work closely with project management and jobsite supervisory personnel to make sure that job cost and other information and documentation is recorded properly.
Position Requirements:
Bachelor's degree, preferable in Business Administration/Accounting/Finance or 3 years related experience in the construction industry.
Business writing ability. Solid organizational & problem-solving skills including attention to detail and multitasking skills & SELF-MOTIVATED. Reliable and professional demeanor. Strong working knowledge of MS Office, Excel & Outlook. Working knowledge of construction workeragement software.
Prioritize and manage multiple projects simultaneously, and proactively follow through on issues in a timely manner.
Excellent interpersonal skills with co-workers and clients (via phone, email and in-person).
Thorough understanding of corporate and industry practices, standards, etc. and their impact on project activities vital.
Required duties & responsibilities:
Provide administrative and project task support to the Project Managers and upper management to include many aspects of change order request documentation, job set-up and budget entry, document control, workflow, and job cost accounting.
Initiate and maintain NTO's, Lien Releases, COI's, Bonds, Certified Payroll.
Process and coordinate the payment of vendor and subcontractor invoices; troubleshoots and resolves payment issues; communicates variances or discrepancies in contracts.
Coordinates the distribution and submission of documents with vendors and subcontractors such as contracts, waivers, and notice of commencements.
Assist PMs with monthly payment application billing process and ensure timely follow-up to support the collection process.
Act as the point of contact and communicate project status adequately to all participants.
Work closely with Project Managers and Superintendents Subcontractors, Vendors and Clients.
Process and verify employee timecards, including data entry and support of mobile timecard app.
Assume additional responsibilities as directed by management.
Share phone duties with other staff.
Position is located in McKinney Texas, north of Dallas - office setting.
